Job Summary

Central Washington University is recruiting an Administrative Assistant 2 to join our Student Leadership, Involvement, and Community Engagement (SLICE) team in Ellensburg, Washington. The Role:

Student Leadership, Involvement, and Community Engagement (SLICE) actively serves the CWU community by developing opportunities that foster individual and collective engagement within leadership, civic, community, and campus involvement, as well as campus club experiences. Our mission is to encourage a sense of belonging, facilitate identity exploration, and promote positive social change within individual communities, the university, and beyond.

Administrative Assistant 2 holds a pivotal role by providing essential administrative support to the Director, the units within Student Involvement, and ASCWU-Student Government. This position supervises student staff and administrative support functions. The Administrative Assistant 2 directly affects the vision, mission, and values of Central Washington University by creating and promoting a welcoming environment where students, faculty, and staff feel supported. Job Duties

Office & Administrative Support:
- Maintain department calendars(s), schedule departmental/director's meetings when needed.
- Answer telephone(s); receive and refer visitors including university personnel, students, and/or the public including providing student engagement information, services, and experiences.
- Coordinate office activities and operations to secure efficiency and compliance with CWU policies. Including records retention and inventory.
- Respond to inquiries regarding departmental/University procedures and services; identify issues, provide options, and exercise knowledge of procedures to assist others.
- Prepare correspondence, meeting notices and agendas, reports, schedules, etc.
- Proofread materials, take and maintain minutes and create agendas for meetings; make copies.
- Ensures that the Director and staff are thoroughly informed in advance of scheduled meetings regarding topics to be discussed.
- Act as a resource person for departmental personnel; participate in committees and/or meetings at CWU.
- Perform word processing tasks; use spreadsheets and database software to develop and maintain records; prepare spreadsheets, etc.
- Recommend improvements to policies and procedures to enhance efficiency.
- Offer support with student engagement software management.
- Exercise discretion regarding written or telephone communications.
- Serve as liaison between students, departments, faculty, administrators, staff and/or other institutions.
- Receive, identify, sort, and distribute a high volume of electronic and paper documents including mail, messages, records, office supplies, etc.
- Actively engage in recruitment and hiring of new employees as assigned by supervisor.
- Serve as recording secretary for the Election Commission. Process all paperwork and transactions regarding elections such as room reservations for candidate events, publicity, eligibility checks, and election cap expenditure confirmations.

Fiscal Support:
- Process departmental transactions and apply departmental/university policies and procedures as they relate to areas such as payroll, procurement, expense reports, travel, fiscal operations, financial/human resource systems, etc.
- Maintain, monitor and reconcile budget and fiscal records; recognize inconsistencies; initiate budget transfers; inform supervisor of status.
- Provides support for event planning and coordination by managing process contracts, arranging space reservations, coordinating logistics, and delivering day-of-event support to ensure successful event execution.
- Assist and coordinate scholarship review for department endowments and foundation accounts.
- Prepare and process travel authorizations, advances, and reconciliations for department staff and students as well as for registered clubs/organizations.
- Prepare and review documents, reports, and presentations for accuracy and completeness.

Supervisor Duties:
- Actively engage in recruitment and hiring of new student employees.
- Clearly define performance expectations, ensure accountability, and provide ongoing informal feedback, coaching, and mentoring.
- Ensure student employees have necessary resources.
- Oversee and direct the work of office student staff; serve as mentor, coach, and leader, and resolve complaints or issues.
- Promote professional development opportunities.
- Develop and foster supportive working relationships, motivation and engagement.
- Communicate information to student staff on an ongoing basis to influence staff engagement and to be a part of a larger community.
- Take corrective action in a timely manner.
- Recognize and reward office student employees for good performance.
- Schedule office student employee work hours/shifts; monitor hours worked; approve payable time and absence requests.
- Adjust leadership style as needed to achieve results.

Departmental Communications and Marketing Support:
- Support general student engagement marketing and awareness campaigns under direction of supervisor.
- Monitor and respond to departmental email account. Assist in maintaining department web pages.
- Support with review and edit print and electronic materials for accessibility, readability, and relatability.

Minimum Qualifications

Increasingly responsible clerical/administrative experience.
Ability to effectively supervise students.
Experience or training that demonstrates the ability to use Outlook, Word, Excel, e-mail and/or similar software applications to produce written correspondence, create and maintain spreadsheets, receive, and respond to e-mail inquiries, tasks, etc.
Fiscal experience, training and/or education that demonstrates the ability to monitor and reconcile budgets, budgeting, payroll, travel, purchasing, compile and interpret fiscal data and provide related reports.
Excellent communication, interpersonal and organizational skills.
Ability to provide excellent customer service including listening to customers, identify issues, provide options, fulfill services, and exercise knowledge of procedures to assist others.
Demonstrated ability to effectively organize and manage multiple work assignments with competing priorities, producing accurate, high-quality work products while consistently meeting established deadlines.
Attention to detail and strong time management skills.
Demonstrated ability and/or experience working collaboratively with students and/or colleagues to foster a supportive and effective learning and work environment.
OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position.

Preferred Qualifications

Experience with financial, human resources and/or student data systems such as PeopleSoft and/or other system(s).
Experience in higher education.
Supervisory experience.
Experience or training in web page maintenance.
Demonstrated participation in programs designed to promote student success.

Pay, Benefits, & Work Schedule

Salary: This position is based on the range 41 of the Washington State Classification Listing, which has a minimum monthly salary of $3,738 and maximum monthly salary of $4,980. In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidate's current experience, education, skills, and abilities related to the position.

Schedule/Appointment: Monday - Friday, 8:00am-5:00pm (1 hour lunch) / 11 month cyclic / (for more detailed information regarding cyclic appointments click link: CWU Cyclic Leave)

Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer workstation for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.
