POSITION DESCRIPTION
Title: Office Coordinator
Purpose: The Office Coordinator works closely with the ECF Pastor to keep the office running efficiently. Work with the Facilities Manager on building and special event needs. Maintain building calendar and work with building users.
Supervisor: ECF Pastor, support from Facilities Manager
Hourly rate: depending on experience
Work time: 20 hours/week
Duties and Responsibilities:
OFFICE COORDINATION:
· Administer ECF’s office needs:
o Assess office supplies and equipment and make purchases, as needed.
o Maintain equipment
o Maintain ECF events, volunteer, and building calendars
o Work with leadership team to maintain grants calendar
o Maintain office files and records, including budget, investments personnel files, building operations, etc.
· Update and maintain Operations Manual.
· Ensure ECF policies and procedures are updated and are being followed.
· Work with ECF employees and Leadership Team on office needs.
· Prepare and maintain agreements and contracts.
· Maintain ECF official membership list, in coordination with the church Clerk.
· Maintain and update membership directory with direction from the Leadership Team.
· Secure and maintain laptop computer. Ensure all official church documents are created and/or copies uploaded, as appropriate.
· Other duties, as requested.
BUILDING COORDINATION:
· Work with Facilities Manager on building maintenance needs. Assist with event support, as needed.
· Work with building users:
o Expedite building use policy with users.
o Make arrangements for keys, sound, audio/visual, clean-up, etc. as needed for each event
o Ensure event contacts have insurance, as appropriate.
o Collect fees.
o Ensure compliance with all applicable laws and regulations, including building codes.
Qualifications and Skills:
· Above all else, must be trustworthy, discreet, and able to maintain confidential information (both written and verbal) that comes from several different sources (be ethical, honest, and have integrity).
· Minimum two years’ experience working in an office setting.
· Excellent communication skills, especially in a professional setting.
· Experience using HP laptop computer with MS software.
· Keen attention to detail.
· Proven ability to establish priorities and work independently with minimal supervision.
· Proven ability to handle multiple tasks and solve problems effectively.
· Proven ability to anticipate needs and follow-through.
· Ability to lift up to 10 pounds regularly, and 20 or more pounds occasionally.
Pay: $20.00 - $25.00 per hour
Expected hours: 20.0 per week
