Executive Assistant
CPA & Financial Advisory Firm
We are seeking an exceptional Executive Assistant to support a fast-paced CPA and financial advisory office. This is not an entry-level administrative role. We are looking for a highly capable professional who operates with precision, discretion, initiative, and a strong sense of ownership.
The ideal candidate is detail-oriented, proactive, highly organized, and able to manage responsibilities independently without constant direction or follow-up. This position requires someone who takes pride in producing high-quality work, anticipates needs, follows through consistently, and can confidently oversee office operations and staff.
Key Responsibilities:
- Manage and oversee daily office operations
- Support executives with scheduling, communications, and administrative priorities
- Supervise admin staff and ensure accountability and efficiency
- Maintain organized and accurate records, files, and workflows
- Handle confidential financial and client information with discretion
- Track projects, deadlines, and follow-up items proactively
- Improve office systems and maintain operational standards
- Serve as a professional point of contact for clients and vendors
- Laison between admin and management
Qualifications:
- Minimum 5+ years of executive assistant or high-level administrative experience
- Exceptional organizational skills and attention to detail
- Strong follow-through and ability to execute tasks completely and accurately
- Ability to prioritize independently and solve problems without constant oversight
- Professional written and verbal communication skills
- Experience supervising staff and managing office workflow
- High proficiency with Microsoft Office, calendars, document management, and office systems
