West End Dental is a well –established (50+ years) dental practice located conveniently in downtown Portland. We have a reputation of providing professional care with personable customer service, and we are looking for a Front Office Coordinator who embodies those same qualities. This pivotal role involves fulfilling all front desk operations, ensuring a welcoming environment for clients and visitors, and providing essential administrative support. The ideal candidate will possess strong clerical skills, excellent time management abilities, and proficiency in various computer applications.
Responsibilities
- Operate office phone to answer, screen, and forward calls, providing information, taking messages and scheduling appointments.
- Greet visitors and callers, handle their inquiries, direct them to the appropriate persons according to their needs, and seat patients when necessary.
- Learn to operate new office technologies as they are developed and implemented.
- File, scan, and maintain records.
- Collect, sort, distribute, and prepare mail, messages, and courier deliveries.
- Provide information about the practice, such as location of office, employees within the organization, or services provided.
- Transmit information or documents to patients using computer, mail, or facsimile machine.
- Balance transactions and provide basic financial clerical support duties.
- Generate and send claims or pre-authorizations to insurance carriers.
- Maintain office cleanliness
- Order office supplies as needed
- Other duties and tasks, as assigned periodically.
Requirements
- Strong clerical skills with attention to detail.
- Proficiency in data entry and computer applications; familiarity with Microsoft word and excel is a plus.
- Excellent time management skills to handle multiple tasks efficiently.
- Strong interpersonal skills with the ability to communicate effectively with clients and team members.
- Ability to maintain HIPAA confidentiality regarding sensitive information.
- Must be able to type accurately and efficiently.
- Must demonstrate good reading comprehension
- Be able to work independently and cooperatively with team member
Physical Requirements
- Sitting 80%.
- Standing/walking 20%.
- Minimum moving requirements of 25 pounds
- Must be able to hear telephonic equipment and comfortably communicate with patients and others by telephone and in person.
- Near Vision - The ability to see details at close range (within a few feet of the observer) as required for business software, and operating office machines.
Qualifications
- 2+ years of office/administrative experience required
- High School Diploma
- Proven experience as a Front Desk Coordinator or similar role in a medical or dental office is preferred.
