About the Role
Lifted Farms is seeking an organized, proactive, and highly capable Executive Operations Coordinator to serve as a trusted partner to our executive team.
Reporting directly to the CFO and COO, you'll play a central role in helping the business operate efficiently by coordinating projects, managing administrative processes, supporting sales and operations, facilitating communication across departments, and ensuring important initiatives stay on track.
This is not a traditional administrative position. We're looking for someone who enjoys solving problems, anticipating needs, following through relentlessly, and helping free up executives for strategic priorities.
No two days are the same. One morning you might coordinate a large customer order, the afternoon you may help onboard a new employee, organize benefits enrollment, prepare reports for leadership, or coordinate regulatory documentation.

Key Responsibilities
Executive & Operations Support
· Increase the efficiency of the executive team by owning administrative and operational tasks that keep the business moving.
· Coordinate projects across departments and ensure deadlines, deliverables, and follow-up items stay on track.
· Identify opportunities to improve internal processes and administrative workflows.
· Take ownership of special projects and execute them with minimal supervision.
Sales & Customer Support
· Coordinate customer onboarding and maintain customer documentation.
· Prepare sales quotes, contracts, purchase orders, and customer paperwork.
· Serve as a professional point of contact for customer inquiries, follow-up, and payment collections.
· Coordinate communication between sales, operations, accounting, and customers to ensure orders move smoothly.
· Maintain customer records and assist with sales reporting and administrative support.
Operations Coordination
· Coordinate purchasing activities and vendor communications.
· Maintain organized records of vendor contracts, company documentation, and operational files.
· Assist department managers with project coordination and administrative support.
Human Resources & Benefits Administration
· Assist the HR department with employee onboarding and offboarding.
· Assist HR with employee benefits, including medical, dental, vision, and 401(k) enrollment and changes.
· Assist with recruiting coordination, interview scheduling, and new hire paperwork.
Compliance & Licensing
· Track and maintain cannabis licenses and permits at the county and state level.
· Coordinate CCOF (California Certified Organic Farmers) certifications and renewals.
· Manage pesticide use reporting and regulatory filings.
· Maintain organized compliance records and audit-ready documentation.
· Assist with the application process for new cannabis licenses and building permits.
· Assist department managers in maintaining compliance with California Track and Trace requirements.
Microsoft Business Central (ERP)
· Generate reports for leadership to support operational and financial decision-making.
· Identify data inconsistencies and help maintain system integrity.
· Support managers with ERP workflows, data management, and process improvements.
Accounting & Finance Support
· Assist the accounting department with accounts payable and accounts receivable administration.
· Coordinate purchasing documentation and vendor records.
· Assist with expense tracking and financial reporting.
· Support the CFO with administrative financial projects as needed.

Qualifications
· 3–7 years of experience in operations, executive support, office management, business administration, or a similar role.
· Exceptional organizational and project management skills.
· Outstanding written and verbal communication.
· Strong attention to detail with excellent follow-through.
· Ability to manage multiple priorities simultaneously.
· Self-motivated, resourceful, and comfortable working independently.
· Advanced excel skill and proficiency with other Microsoft Office programs.
· Experience with Microsoft Business Central or another ERP system is preferred.
· Basic accounting knowledge is preferred.
· Experience administering employee benefits or HR processes is a plus.
· Experience in agriculture, manufacturing, food production, or cannabis is a plus.

Compensation & Benefits
Compensation
· $90,000–$110,000 annual salary (DOE)
· Performance bonus based on company and individual performance
