Scheduling & Operations Coordinator
Columbine Caregivers has proudly served Mesa County and surrounding communities for over 30 years as a locally owned in-home healthcare agency. We are currently seeking a dependable, organized, and solution-oriented Scheduling & Operations Coordinator to join our office team.
This position plays a key support role within our scheduling and operations department. While scheduling responsibilities are part of the role, this position is heavily focused on assisting with day-to-day operational needs, problem-solving, quality control, reports, communication, and helping manage the many moving parts that come with home healthcare.
This is a fast-paced position that requires strong communication skills, attention to detail, the ability to multitask effectively, and the ability to remain calm and professional under pressure.
Primary Responsibilities Include:
- Assisting with daily caregiver scheduling and shift coverage needs
- Responding promptly to caregiver call-offs and urgent schedule changes
- Helping maintain schedule consistency for clients and caregivers
- Assisting with onboarding schedules for new clients and new caregivers
- Monitoring schedules for accuracy, gaps, conflicts, and quality control concerns
- Supporting office operations through reporting, tracking, documentation, and follow-up tasks
- Communicating schedule updates clearly with caregivers, clients, and office staff
- Assisting with client care coordination and administrative support tasks
- Supporting interviews, orientations, and caregiver onboarding as needed
- Assisting with office organization, filing, inventory, and general administrative duties
- Providing professional customer service both over the phone and in person
- Helping troubleshoot operational issues and “put out fires” as they arise throughout the day
Home healthcare scheduling is highly time-sensitive and constantly changing. The ideal candidate is someone who can adapt quickly, think critically, prioritize effectively, and stay organized when handling multiple urgent matters at once.
On-Call Responsibilities:
All supervisors participate in a rotating on-call schedule for evenings and weekends. Typical rotation is approximately one weekday on-call week per month and one weekend per month, though this may vary based on staffing needs.
Most on-call responsibilities are handled remotely by phone. However, in rare situations, supervisors may assist with direct client coverage to ensure clients remain safely staffed.
Preferred Qualifications:
- Experience working in an office or administrative setting
- Scheduling or staffing experience preferred
- Healthcare or home healthcare experience preferred
- Supervisory or leadership experience beneficial
- CNA or MA license is a plus, but not required
- Strong computer skills and comfort learning scheduling software systems

Office Hours:
Monday-Friday, 7:30am – 4:00pm
Because scheduling and client care needs are time-sensitive, office staff are expected to ensure urgent matters are handled before leaving for the day. Occasional extended hours may be necessary depending on staffing needs, new client starts, or open shifts requiring immediate attention.
