As our company continues to grow, we are seeking a highly organized and results-driven Production Coordinator to lead scheduling, production planning, and project coordination.
This role is essential to ensuring every project is fully prepared, properly staffed, and completed efficiently while serving as the primary link between Sales, Administration, and Construction.
Responsibilities
- Build and manage production schedules based on crew capacity, project priorities, and installation timelines.
- Adjust schedules to accommodate weather, customer requests, material availability, and unforeseen delays.
- Verify contracts, project scope, permits, documentation, and job readiness before scheduling work.
- Order all materials required for each project, ensuring accuracy, timely delivery, and coordination with production schedules to prevent delays.
- Coordinate communication between Sales, Administration, Project Managers, field crews, subcontractors, suppliers, and customers to ensure smooth project handoffs.
- Ensure materials, labor, equipment, and subcontractors are available to keep projects on schedule.
- Monitor production progress, job backlog, and crew utilization while identifying opportunities to improve efficiency.
- Resolve scheduling conflicts and production issues before they impact the customer experience.
- Track production performance and maintain accurate project records using company software and spreadsheets.
- Support continuous improvement of production processes to help Smallwood Renovations deliver projects on time and at the highest level of quality.
Qualifications
- Experience in production management, construction scheduling, project coordination, purchasing, or a related field required.
- Residential construction experience is strongly preferred.
- Experience ordering construction materials and coordinating vendor deliveries preferred.
- Strong understanding of construction scheduling, job sequencing, and production workflows.
- Excellent organizational, planning, and problem-solving skills.
- Ability to manage multiple projects and changing priorities simultaneously.
- Strong communication skills with the ability to coordinate effectively across departments.
- Proficiency with Microsoft Excel and general computer software.
- Experience using CRM or project management software is preferred.
- Valid driver's license and reliable transportation.
- Must be able to pass a background check and drug screening.
