Job Summary
We are seeking a highly organized and proactive Executive Assistant (AI-Enabled) to support our leadership team remotely as an independent contractor. This dynamic role involves leveraging advanced AI tools and traditional administrative skills to streamline daily operations, coordinate projects, and manage executive schedules. The ideal candidate will excel in multitasking, possess exceptional communication skills, and be adept at utilizing various digital platforms to enhance efficiency. Responsibilities
- Prepare meeting agendas, notes, and action items
- Conduct online research and prepare concise summaries
- Draft professional emails and documents
- Create and maintain SOPs and process documentation
- Track tasks and follow up on deliverables
- Use AI tools to improve speed, quality, and productivity
- Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
- Provide comprehensive administrative support including email management, document proofreading, transcription, and data entry to ensure seamless communication flow.
- Support event planning activities by organizing logistics, preparing materials, and coordinating with vendors or participants as needed.
- Demonstrate excellent phone etiquette when communicating with clients, vendors, or team members to uphold professional standards.
- Proven experience in executive administrative support with strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and office management software like DocuSign.
- Excellent typing speed combined with transcription and proofreading abilities to produce error-free documents swiftly.
- Strong customer service skills coupled with professional phone etiquette.
- Ability to adapt quickly to new AI-enabled tools and demonstrate computer literacy for remote work success.
Required Qualifications
- 3+ years supporting executives, business owners, or senior leaders
- Experience using ChatGPT or other AI productivity tools
- Excellent written and verbal English
- Strong organizational and time management skills
- High attention to detail
- Proficiency with Google Workspace and Microsoft Office
- Experience with calendar and inbox management
- Ability to manage multiple priorities independently
Preferred Qualifications
- Familiarity with Microsoft Copilot or Google Gemini
- Experience with Notion, ClickUp, Asana, Trello, or Monday.com
- Experience using meeting transcription tools such as Fathom, Fireflies, or Otter.ai
- Project coordination or operations experience is a plus
