Job Summary
We are seeking a highly organized, energetic, and patient-focused Patient Care & Insurance Coordinator to join our growing chiropractic practice. This position is ideal for someone who enjoys helping patients, coordinating care, managing insurance and case-related documentation, and supporting the daily operations of a busy healthcare office.
The ideal candidate will have experience with medical billing, personal injury cases, workers' compensation claims, and insurance verification, along with a willingness to assist with a variety of administrative and clinical support functions. We can train the right person on our specific processes, but a positive attitude, strong work ethic, and exceptional customer service skills are essential.
Essential Duties and Responsibilities
Case Management
- Serve as a primary point of contact for patients throughout their treatment journey.
- Coordinate patient appointments, treatment plans, referrals, and follow-up care.
- Maintain accurate patient records and documentation.
- Communicate professionally with patients, providers, attorneys, employers, and insurance representatives.
- Assist patients with questions regarding treatment plans, scheduling, and insurance coverage.
Insurance
- Verify insurance eligibility and benefits.
- Obtain authorizations and referrals as needed.
- Manage and track personal injury, workers' compensation, and other third-party claims.
- Coordinate with attorneys, insurance adjusters, case managers, and employers regarding patient care.
- Monitor claim status and ensure timely submission of required documentation.
- Maintain accurate case files and treatment records for active claims.
- Follow up on outstanding claims, denials, and requests for additional information.
Medical Billing & Revenue Cycle Support (Highly Preferred)
- Prepare and submit insurance claims accurately and timely.
- Review Explanation of Benefits (EOBs) and resolve claim discrepancies.
- Post payments and reconcile patient accounts.
- Assist with collections, patient statements, and payment plans.
- Monitor accounts receivable and follow up on unpaid claims.
- Ensure compliance with payer requirements and documentation standards.
Front Office & Administrative Support
- Greet patients and provide exceptional customer service.
- Answer phones, schedule appointments, and manage patient communications.
- Process new patient paperwork and maintain electronic health records.
- Assist with office correspondence, scanning, filing, and record management.
- Support daily clinic operations and maintain an organized office environment.
Clinical Support
- Assist providers with patient flow and room preparation.
- Provide basic chiropractic assistant and therapy aide support as trained.
- Ensure treatment areas remain clean, stocked, and organized.
- Assist with patient exercises and therapy modalities under provider direction.
Qualifications
Required
- High school diploma or equivalent.
- Strong customer service and communication skills.
- Excellent organizational skills and attention to detail.
- Proficiency with computers, Microsoft Office, and electronic medical records.
- Ability to multitask and prioritize in a fast-paced environment.
- Professional demeanor and positive attitude.
Preferred
- Experience in a chiropractic, medical, physical therapy, or healthcare office.
- Experience with medical billing and coding.
- Experience managing workers' compensation and personal injury cases.
- Knowledge of insurance verification, authorizations, and claims processing.
- Associate degree or higher.
- Bilingual (English/Spanish).
