Administrative Coordinator

Position Summary
We are seeking a dependable, organized, and detail-oriented Administrative Coordinator to support the daily operations of our accounting firm. This role is primarily responsible for basic technology support while also providing administrative support. The ideal candidate is professional, customer-service focused, and comfortable working in a fast-paced office environment.
Key Responsibilities
Duties
- Coordinate accounting and tax software for the firm. Including:
- Assigning users
- Maintaining security groups
- Greet clients and visitors in a professional, welcoming manner. Answering and directing incoming phone calls and managing general office communications.
- Prepare, organize, maintain, and ensure the confidentiality of client files and firm records.
- Process incoming and outgoing mail, deliveries, and electronic correspondence.
- Order, maintain, and inventory office supplies while coordinating office equipment maintenance.
- Assist with document preparation, scanning, filing, and data entry.
- Support partners and staff with administrative projects, client communications, and other office needs.
- Basic troubleshooting skills for common office technology issues.
- Coordinate office equipment maintenance
- Understanding of data security, confidentiality, and secure handling of sensitive client information.
Qualifications
- Bachelor’s degree or equivalent work experience preferred.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, TEAMS and PowerPoint).
- Ability to use office equipment, including multi-function printers, scanners, copiers, and phone systems.
- Experience with document management, electronic filing, and PDF software.
- Ability to learn and use accounting, tax, and practice management software.
- Strong organizational, communication, and customer service skills.
- Ability to manage multiple priorities with attention to detail.
- Professional demeanor and ability to maintain confidentiality.
