Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team and support our daily operations with enthusiasm and professionalism. Responsibilities
- Manage front desk operations, including greeting visitors, answering phone systems, and directing calls with professional phone etiquette.
- Perform data entry and maintain accurate records using productivity software such as Microsoft Office and Job Nimbus.
- Coordinate calendar management and schedule appointments for team members or clients, ensuring optimal time management.
- Handle office management duties including filing, organizing documents, proofreading correspondence, and maintaining office supplies inventory, and materials inventory.
- Provide customer support by addressing inquiries promptly, assisting with billing or bookkeeping tasks using QuickBooks, Job Nimbus and supporting client needs.
- Assist with clerical tasks such as photocopying, scanning, faxing documents, and managing incoming/outgoing mail.
Skills
- Proven experience with office management, administrative support or related roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and general computer literacy.
- Technical proficiency in answering phones and scheduling appointments.
- Excellent time management skills to prioritize tasks effectively in a fast-paced environment.
- Bilingual abilities are a plus to enhance communication with diverse clients or team members.
- Strong customer service skills combined with professional phone etiquette and a friendly demeanor.
- Job Nimbus experience is a HUGE plus

Pay: $20.00 - $30.00 per hour
