Eastern Shore Auto Repairs is seeking a dynamic and highly organized Personal Assistant/Secretary to provide exceptional administrative and operational support to our automotive management team. Responsibilities
- Working closely with Service Manager on project coordination and deadline tracking to enhance operational efficiency.
- Manage and coordinate appointments for customers and technicians efficiently using R.O. Writer and Google Calendars.
- Provide comprehensive executive administrative support including email, document proofreading, transcription, and data entry to ensure accuracy and timely communication.
- Organize and plan events, meetings, and travel arrangements while handling logistics with attention to detail.
- Oversee office management tasks such as filing, front desk duties, multi-line phone systems, maintaining inventory and cleaning.
- Utilize productivity software like R.O. Writer (shop management software) and inventory websites (ProDemand, Advance Auto Parts, etc) to prepare customer invoices, technician work orders, etc. that meet high standards of professionalism.
- Facilitate communication through proper phone etiquette by voice and text.
Qualifications
- Must have valid driver's license, clear driving record and comfortable driving different vehicle models.
- Lift 25-50lbs comfortably.
- Be able to clean office spaces with chemicals and take out trash.
- Wiliness to learn and work hard.
- Ability to work from 9am to 6pm Monday thru Friday (Lunch break between 12pm & 1pm)
- Proficient with software calendars, data entry, inventory, online research, filing, bookkeeping, transcription, proofreading and other management tools.
- Excellent organizational skills with the ability to multitask effectively in fast-paced environments.
- Exceptional communication skills with professional phone etiquette and customer service orientation.
- Ability to handle confidential information discreetly while maintaining high levels of accuracy in all tasks.
- Familiarity with office equipment such as multi-line phones, fax machines, scanners, and office supply management systems.
Pay: $18.00 per hour
