Orawell Group runs an integrated portfolio of three pediatric dental brands across NYC: Orawell (premium, holistic care), HelloSmile (community-focused, multi-location across Queens, Brooklyn, and the Bronx), and Naptime Dental (specialized pediatric dental anesthesia). The three brands share back-office operations while maintaining distinct front-end experiences.
Role Overview
We're looking for a hands-on, locally based Technical Operations Assistant to keep our day-to-day operations running smoothly. You'll be the practical link between our internal operations team and our external vendors — improving efficiency, supporting our IT and AI tools, and handling the administrative coordination that keeps multi-location clinics on track. This is a flexible part-time role well suited to someone organized, tech-comfortable, and proactive.
Key Responsibilities
Operational efficiency
- Identify friction points in daily workflows and recommend or implement practical improvements
- Help document and standardize routine processes across the three brands
- Track recurring issues and follow them through to resolution
IT & AI tools support
- Provide first-line support for everyday software, hardware, and connectivity issues
- Help onboard, configure, and maintain IT tools used across clinic locations
- Support adoption of AI tools (e.g., scheduling, documentation, communication assistants) — testing, troubleshooting, and helping staff use them effectively
Vendor & internal coordination
- Serve as the point of contact between the internal operations team and external vendors
- Coordinate service requests, track deliverables, and follow up to ensure commitments are met
- Communicate clearly between technical vendors and non-technical staff
Practice management system
Administer and maintain the practice management system — user accounts, settings, routine data tasks, and troubleshooting
- Liaise with the system provider on issues, updates, and enhancements
Call center management
- Oversee day-to-day call center operations and act as liaison with the call center provider on the technical side
- Surface and resolve recurring service issues
General administration
- Handle administrative tasks supporting operations across all three brands
- Maintain organized records, documentation, and trackers
Qualifications
Required
- Bachelor's degree, or currently enrolled in a college/university degree program
- Based in the NYC area and able to work on-site as needed
- Comfortable with everyday IT tools and quick to learn new software
- Strong organizational skills and reliable follow-through
- Clear, professional written and verbal communication
- Able to coordinate multiple vendors and tasks independently
- Experience with basic computer & server support (OS, updates, backups, database support)
- Prior administrative or operations support experience (e.g. Google Workspace)
- Authorized to work in the United States
Preferred
- Experience with practice management systems (Kaspar, OpenDental, or similar) — or healthcare/dental office operations
- Experience working with or managing call center / vendor relationships or experience with VoIP systems
- Familiarity with AI productivity tools
Engagement Terms
This role is open to either an independent contractor (1099) or part-time employee (W-2) arrangement, to be determined with the selected candidate based on their preference and the agreed scope of work.
Pay: $18.00 - $25.00 per hour
