We are seeking a dynamic and highly organized Personal Assistant to support professionals within the construction industry. Duties
- Manage and coordinate calendars for multiple executives, including scheduling meetings, appointments, and business travel arrangements
- Assist with project coordination tasks such as tracking deadlines, preparing reports, and maintaining project documentation
- Organize company events, meetings, and site visits to ensure seamless execution
- Handle correspondence through email, phone calls, and video conferencing software with professionalism and confidentiality
- Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking
- Prepare accurate documentation by proofreading, transcribing notes, and managing data entry tasks
- Facilitate internal communication across departments to promote collaboration and information flow within the organization
Qualifications
- Previous experience as a personal assistant or administrative support role within the construction or related industry is preferred but not required; entry-level candidates are encouraged to apply
- Strong organizational skills with the ability to multitask efficiently in a busy environment
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and productivity software
- Technical proficiency with video conferencing tools (e.g., Zoom, Microsoft Teams) and multi-line phone systems
- Excellent written and verbal communication skills with professional phone etiquette
- Experience with calendar management tools such as Microsoft Outlook Calendar or Google Calendar
- Ability to handle confidential information discreetly and maintain high levels of professionalism
- Familiarity with bookkeeping software like QuickBooks is a plus
- Strong typing skills for data entry, filing, and document preparation
- Demonstrated ability to work collaboratively with C-suite executives and project teams in a fast-paced setting
