Job Summary
The Association Manager is primarily responsible for effectively managing and successfully executing the business processes of an Association’s day-to-day operations in accordance with company policies, procedures, and current law. The Association Manager provides leadership to the Board of Directors by encouraging policy decisions that align with their fiduciary responsibilities while reducing Board Members’ risk.
This role requires expertise in annual budget preparation, financial analysis, income statement management, and disciplined project management. The Association Manager must be able to multi-task, communicate clearly both orally and in writing, and work across functional departments to manage and adhere to Association business processes.
Essential Functions & Key Responsibilities
Board & Governance Support
- Maintain strong communication with Boards of Directors and homeowners.
- Provide leadership and guidance to Boards to support sound policy decisions.
- Prepare board meeting agendas, attend meetings, and draft accurate minutes.
- Assist in enforcing governing documents, rules, and policies.
Financial Management
- Prepare and present annual budgets to community boards.
- Analyze monthly financial reports and create variance reports for Boards.
- Manage income statements and conduct financial forecasting.
- Monitor and approve invoices, expenses, and reserve fund allocations.
Property Operations
- Conduct regular property inspections and ensure compliance with community standards.
- Contact and coordinate with vendors for routine maintenance, repairs, and capital projects.
- Solicit and review bids, negotiate contracts, and supervise vendor performance.
- Respond promptly to emergencies and homeowner needs.
Communication & Resident Relations
- Act as the primary liaison for homeowners, Board Members, and vendors.
- Clearly communicate updates, notices, and policy changes to the community.
- Investigate and resolve homeowner concerns in a professional, timely manner.
Requirements
- 3+ years of Association Management experience (preferred).
- Community Association Institute Classes including M-100 (preferred).
- Bachelor’s degree from a four-year college or university (preferred).
- Current Hawaii Real Estate License (required).
- Proficiency in Microsoft Office, Office 365, and Outlook.
- Familiarity with property/association management software.
Schedule:
- Full-time
- Monday to Friday
- Weekend availability required
- On-call availability required
COVID-19 Considerations:
Pay: $65,000.00 - $75,000.00 per year
