Advanced Obstetrics & Gynecology in Flemington, NJ is seeking a Call Center Staff to join our dynamic and growing practice
Job Summary
The Call Center Staff member serves as the primary point of contact for patients and external callers in a clinical practice. This role is responsible for handling incoming and outgoing calls, scheduling appointments, providing accurate information, and ensuring positive patient experience while maintaining compliance with privacy and clinical protocols.
Key Responsibilities
- Answer inbound calls promptly and professionally
- Schedule, reschedule, and cancel patient appointments using the practice management system
- Verify patient demographics and insurance information
- Route clinical calls appropriately to nursing or clinical staff
- Document patient interactions accurately in the electronic health record (EHR)
- Communicate clearly with patients regarding appointment preparation, clinic policies, and general inquiries
- Handle high call volumes while maintaining quality and accuracy
- Follow HIPAA and confidentiality guidelines at all times
- Escalate urgent or sensitive issues to appropriate clinical or supervisory staff
- Coordinate with front desk, clinical teams, and billing as needed
- Make outbound calls for appointment reminders, follow-ups, or referrals as assigned
- May be required to cross cover other areas when needed
- Perform other duties as assigned by the supervisor/managers
Requirements:
Required Qualifications
- High school diploma or equivalent
- Previous experience in a medical office, call center, or customer service role preferred
- Strong verbal communication and active listening skills
- Basic computer proficiency and ability to navigate EHR systems
- Ability to multitask and prioritize in a fast-paced clinical environment
- Professional demeanor and patient-centered approach
- Dependable
Preferred Qualifications
- Experience in a healthcare or clinical practice setting
- Familiarity with medical terminology
- Experience with EHR and scheduling software, (NextGen preferred)
- Bilingual (preferred but not required)
