Position Summary
Temple Judea seeks a friendly, organized, and detail-oriented Administrative Assistant to support the daily operations of our synagogue. Reporting directly to the Executive Director, this position serves as a key point of contact for congregants, visitors, clergy, staff, and community members. The Administrative Assistant helps ensure the smooth operation of the synagogue office while providing administrative support to the Executive Director, Rabbi, and other staff as needed.
The ideal candidate is professional, welcoming, dependable, and able to manage multiple responsibilities in a dynamic congregational environment.
Schedule
- Approximately 36 hours per week
- In-office regular daytime hours, office closes early on Fridays
- Tuesday evening availability required to support Religious School activities
- Occasional weekend hours required for major synagogue events, high holidays, and special programs
Essential Duties and Responsibilities
Office Administration
- Manage daily office operations and maintain an organized, professional environment
- Answer phones, greet visitors, and respond to general inquiries
- Receive, sort, and distribute mail and deliveries
- Maintain office supplies and coordinate vendor orders as needed
- Assist with filing, recordkeeping, and data entry
- Maintain congregational database and membership records, synagogue calendar and assist with social media and website updates
- Process routine correspondence, forms, and administrative documents
- Assist in coordinating lifecycle events, religious services, and congregational program
Support for Executive Director and Rabbi
- Provide administrative support to the Executive Director and Rabbi
- Assist with scheduling meetings, appointments, and events
- Prepare communications, announcements, and synagogue correspondence
- Support administrative projects and special initiatives
Event and Program Support
- Assist with planning and logistics for synagogue programs, Religious School activities, and special events
- Coordinate event registrations and attendee communications
- Help prepare materials, signage, and supplies for programs and events
- Provide on-site support during major synagogue events and holidays as needed
Congregant Relations
- Serve as a welcoming and professional first point of contact for congregants and guests
- Respond to inquiries with courtesy, discretion, and professionalism
- Foster positive relationships within the synagogue community
Qualifications
- Associate’s or bachelor’s degree required
- Minimum of 5 years of administrative or office experience
- Strong organizational and time-management skills
- Excellent written and verbal communication abilities
- Proficiency in Microsoft Office (Word, Excel, Outlook) social media and general office technology
- Ability to maintain confidentiality and handle sensitive information appropriately
- Strong attention to detail and ability to prioritize multiple tasks
- Experience with nonprofit, religious, educational, or community organizations is a plus
- Familiarity with the Jewish culture or willing to learn is essential
