Montana Neuropathy & Spine Center is a privately owned, leading provider of neuropathy, chiropractic, and incontinence treatment committed to enhancing the well-being of our community. We specialize in non-surgical solutions for spinal disorders, chronic pain, and mobility restoration. We combine advanced technology, functional medicine principles, and neurological rehabilitation to help patients regain their quality of life. We currently offer chiropractic care, spinal decompression, red light therapy, shockwave, nerveplate, stimpod, Gazelle treatments as well as gut health nutrition protocols.
We are looking for a Clinical Operations Lead to oversee the daily operations of our treatment department. It is important to be familiar with anatomy, enjoy talking with patients and building relationships. Title: Clinical Operations Lead
Job Summary: This leadership position is responsible for ensuring every patient receives personalized care while maintaining standards of efficiency, quality and professionalism. The Clinical Operations Lead serves as the operational leader of the treatment floor, supervising clinical support staff, managing workflows, maintaining equipment, and ensuring consistent delivery of our treatment protocols. The ideal candidate is a natural leader who enjoys coaching others, solving problems, improving systems, and creating an outstanding patient experience.
Therapy Responsibilities:
- Build friendly, personable relationships with our patients. We are more than a doctor’s office, we are a caring space with concern as well as smiles.
- Manage patient Red Light, Decompression, NervePlate, Shockwave, Stimpod therapies in coordination with other Therapy staff:
- Set patients up for and remove them from the therapy machines
- Monitor the schedule for efficient patient flow and rotation through the therapies
- Appointment Scheduling:
- Schedule out appointments for the next 3-6 months for patients upon enrollment in our care program
- Schedule doctor/patient follow-up examinations according to care plan protocols.
- Patient Flow Management:
- Manage the flow of patients within the schedule to optimize efficiency and minimize wait times
- Proactively address scheduling conflicts and adjustments to accommodate patient needs
- Course of Care Tracking:
- Maintain and track the course of care for each patient
- Review patient accounts to make sure any changed or missed appointments get added back on to their care plan
- Track progress and prepare for graduation celebration. Order graduation gifts and prepare celebration cards.
- Document delivered treatments in patient chart notes every day.
- Product and Treatment Knowledge:
- Acquire in-depth knowledge of clinic treatments, products, and supplements offered to patients
- Assist patients by providing information and guidance related to treatments and recommended products throughout their care
- Help solve patient problems with home equipment by coordinating replacement.
- Patient Check-Ins:
- Conduct regular check-ins with patients to assess their well-being and address any questions or concerns they may have
- Collect success stories ranging from small comments regarding progress as well as graduation photos and testimonials
- Prepare photos and testimonials for the success wall.
- Maintain job specific statistics and Key Performance Indicators on a daily and weekly basis.
- Periodic Receptionist responsibilities as needed by the team schedule:
- Schedule patients at time of service as needed
- Answer phones
- Collect payments as needed
- Collect basic insurance details for appropriate billing
- Assisting in keeping treatment areas clean and presentable each day.
Leadership & Team Development Responsibilities:
- Lead, supervise, and mentor clinical support staff
- Train and onboard new employees
- Provide coaching and performance feedback
- Foster teamwork, accountability and a positive workplace culture
- Coordinate staff schedules and daily assignments
- Assist with interviewing and hiring clinical staff
- Evaluate clinic operations for opportunities to improve efficiency, patient satisfaction.
- Implement systems that improve consistency and productivity.
Required Qualifications:
- Minimum 3 years of clinical experience in a healthcare setting
- Familiar with anatomy
- Leadership or supervisory experience preferred
- Proficiency with electronic health records
Preferred Qualifications:
- Experience in chiropractic, rehabilitation, physical therapy or functional medicine
- Experience with therapeutic modalities and rehabilitation equipment
- Staff training experience
- Connecting and building relationships with patients,
- Excellent organizational and time management skills
- Strong interpersonal skills for effective communication with patients, healthcare providers, and staff
- Attention to detail and tracking patient notes
- Computer scheduling experience
- Word processing
- Phone skills
- Basic statistics tracking
- Preparing and sharing weekly reports to update staff on patient progress
