Position Overview
The Legal Assistant II provides essential support to Administrative Law Judges (ALJs) within an appellate services environment. This role is mission-critical and involves preparing appeal cases, managing hearing documentation, scheduling hearings, and supporting legal research activities across multiple program areas.
The position is primarily virtual after onboarding, with required in-person attendance up to four scheduled days per month.
Key Responsibilities
- Review and verify incoming appeal requests for accuracy and timeliness
- Retrieve, organize, and prepare hearing exhibits and appeal packets for ALJs
- Distinguish between programs and appeal issues to ensure accurate case processing
- Enter and maintain case documentation in designated case management systems
- Assist ALJs with case research and interpretation of procedures
- Schedule hearings and support elevated docket calls
- Upload legal decisions and dispositions for further departmental action
- Process postponements, withdrawals, and other hearing-related requests
- Identify, correct, and escalate errors or missing documentation as needed
- Elevate appeals to the appropriate review boards when required
Required Skills & Knowledge
- Strong organization and maintenance of confidential paper and electronic files
- Ability to analyze jurisdiction, appeal issues, and legal documentation
- Knowledge of administrative procedures and legal deadlines
- High attention to detail, accuracy, and ability to meet mandated timelines
- Strong customer service and interpersonal communication skills
- Ability to work with diverse populations and stakeholders
- Proficiency with Google Workspace (Gmail, Docs, Sheets) and Adobe Acrobat
- Ability to multitask across multiple systems and applications simultaneously
Experience & Qualifications
- Strong English communication skills (reading, writing, speaking)
- Experience managing competing priorities with minimal supervision
- Critical thinking skills to analyze complex appeals and legal documentation
- Experience using case management systems and document imaging platforms
- Familiarity with office procedures and handling sensitive information
Preferred Experience
- Experience with administrative or legal case management systems
- Prior work supporting hearings, appeals, or legal documentation workflows
- Experience in fast-paced, deadline-driven environments
