Senior Executive Assistant to the Chief Financial Officer (CFO)
Position Type: Full Time, Exempt Employee.
Salary Range: $105,000 - $135,000 annually, DOE; eligible to participate in an annual incentive program.
Location: This position is based Monday-Friday onsite at the Service Center located in San Juan Capistrano, CA.

Position Summary
We are seeking an experienced, highly professional, and exceptionally capable Senior Executive Assistant to the Chief Financial Officer (CFO) to serve as a strategic business partner in a fast-paced, publicly traded healthcare organization. This is not a traditional administrative support role. The Senior Executive Assistant will operate as an extension of the CFO, helping manage executive priorities, Board of Directors and Audit Committee activities, investor relations initiatives, executive communications, and strategic projects. The position requires exceptional judgment, executive presence, outstanding organizational skills, and the ability to produce Board-ready and investor-ready materials.
The successful candidate will thrive in a dynamic environment, anticipate needs before they arise, and demonstrate the professionalism, discretion, and business acumen necessary to regularly interact with senior executives, Board members, investors, analysts, auditors, attorneys, and other external stakeholders. Expertise in PowerPoint, Public-Company investor relations, executive presentations, infographics, data visualization, and advanced Excel analysis is essential. Healthcare experience is a plus.
Key Responsibilities
Executive Support
- Provide proactive and strategic support to the CFO.
- Manage a complex and ever-changing calendar, travel schedule, and executive priorities.
- Coordinate interactions with internal and external stakeholders, including Board members, investors, auditors, financial advisors, attorneys, and executive leadership.
- Prepare executive correspondence, communications, reports, and briefing materials.
- Manage sensitive and confidential information with the highest level of discretion.
- Anticipate needs, identify priorities, and solve problems before they arise.
Board of Directors & Audit Committee Support
- Coordinate the preparation, organization, and distribution of Board of Directors and Audit Committee materials.
- Assist in preparing executive presentations, Board books, and governance documentation.
- Track action items, approvals, and follow-up activities arising from Board and committee meetings.
- Coordinate executive meetings, retreats, and strategic planning sessions.
- Investor Relations Support.
- Assist with preparation of investor presentations, analyst materials, earnings call support, conference presentations, and shareholder communications.
- Coordinate investor meeting logistics and executive briefing materials.
- Interact with NASDAQ, Investor Relations website, etc.
- Support investor relations initiatives and strategic communications with investors and analysts.
Presentation, Graphics & Executive Communications
- Develop highly polished executive, Board, and investor presentations.
- Create compelling infographics, dashboards, charts, and visual communications that simplify complex information.
- Transform financial, operational, and strategic data into concise executive-level materials.
- Ensure consistency and quality across all executive communications and presentation materials.
Financial & Analytical Support
- Utilize advanced Excel skills to compile, organize, analyze, and summarize information.
- Develop executive dashboards, reports, and presentation-ready analyses.
- Support special projects related to finance, operations, compliance, acquisitions, and strategic initiatives.
- Assist in the preparation of materials related to budgeting, forecasting, financial reporting, and business reviews.
Equity Administration & Executive Compensation Support
- Assist with communications and coordination related to equity awards and executive compensation programs.
- Support the preparation and distribution of Compensation Committee and Board materials related to equity compensation.
Qualifications
Required
- Bachelor's degree preferred.
- 10+ years of executive support experience, including significant experience supporting C-suite executives.
- Minimum of 5 years supporting a CFO, CEO, President, public company executive, or senior finance leader.
- Public company experience.
- Demonstrated experience supporting Board of Directors, Audit Committee, and executive leadership activities.
- Expert-level PowerPoint skills with the ability to create sophisticated executive presentations, Board materials, investor presentations, and visual communications.
- Advanced Excel skills, including pivot tables, complex formulas, financial reporting support, data analysis, dashboards, and executive reporting.
- Exceptional written, verbal, and interpersonal communication skills.
- Proven ability to manage multiple priorities and deadlines in a fast-paced, high-growth environment.
- Strong business acumen and the ability to rapidly learn complex financial, operational, and regulatory matters.
- Exceptional attention to detail and follow-through.
- Maintain absolute discretion and integrity when handling sensitive information, including correspondence/email and strategic business initiatives.
- Manage the CFO's calendar with diplomacy and tact, balancing gatekeeping with positive relationship management.
Preferred
- Healthcare, post-acute care, home health, hospice, senior living, hospital, or other healthcare services experience.
- Investor relations experience.
- Experience supporting earnings calls, analyst meetings, investor conferences, and SEC reporting activities.
- Familiarity with corporate governance, financial reporting, and regulatory compliance environments.
