Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to support the continued development of our ministries. This vital role involves managing daily administrative tasks, coordinating communication, and ensuring the smooth functioning of office activities. Candidate must be an active, practicing Catholic with ministerial experience with youth and adults. The ideal candidate will be proactive, detail-oriented, and possess excellent interpersonal skills. Duties
- Greet visitors at the front desk with professionalism and warmth, providing excellent customer service and guiding them appropriately
- Answer inquiries, and direct calls efficiently using proper phone etiquette
- Maintain organized filing systems, both physical and digital, including data entry, document proofreading, and record keeping
- Schedule appointments, manage calendars, and coordinate meetings for ministry and special events using Google Workspace and Microsoft Office tools
- Handle incoming correspondence, emails, and inquiries promptly while maintaining confidentiality
- Support office management activities such as document preparation and clerical duties to ensure operational efficiency
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with office management procedures including filing, data entry, and calendar management
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Accuracy for efficient documentation and communication
- Exceptional phone etiquette skills combined with experience managing multi-line phone systems
- Proven clerical experience in an office or administrative setting with strong attention to detail
- Ability to proofread documents accurately while maintaining high standards of quality
- Customer service orientation with a friendly demeanor and strong interpersonal skills
- Personal assistant experience or previous office experience is advantageous for supporting ministry staff effectively
