Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties
- Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Perform data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office and Google Workspace
- Coordinate calendar management and schedule appointments for team members or clients, ensuring efficient time management
- Handle clerical duties such as filing, proofreading documents, and maintaining organized records for easy retrieval
- Support bookkeeping activities using QuickBooks or similar accounting software to assist with invoicing and expense tracking
- Provide excellent customer service by responding promptly to inquiries via phone or email and assisting with client communication
- Assist with office management tasks including supply ordering, filing systems, and maintaining a clean, organized workspace
Qualifications
- Proven experience in office administration or clerical roles, preferably in a medical or dental reception setting or as a personal assistant
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry skills
- Familiarity with QuickBooks accounting software and multi-line phone systems is highly desirable
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Exceptional phone communication skills coupled with professional phone etiquette
- Previous experience in customer service, front desk operations, or administrative support is preferred
- Ability to manage calendar scheduling, document proofreading, and maintain high levels of accuracy in all tasks
