The Women's & Children's Alliance (WCA) is seeking an Administrative Specialist to provide administrative, operational, and donor database support that helps advance our mission of safety, healing, and freedom from domestic abuse and sexual assault.

The Administrative Specialist serves as a key member of the administrative team by supporting agency operations, maintaining donor information systems, assisting with philanthropy initiatives, and providing excellent customer service to internal and external stakeholders.
Key Responsibilities
- Provide administrative and operational support through calendar management, meetings, documentation, reporting, workflow coordination, and day-to-day office operations.
- Provide exceptional customer service to staff, clients, donors, volunteers, visitors, and community partners.
- Answer incoming phone calls and direct inquiries appropriately.
- Monitor front office access and welcome visitors in a professional, trauma-informed manner.
- Maintain agency records, filing systems, data entry, and administrative processes with a high level of accuracy and confidentiality.
- Manage WCA's donor database, ensuring accurate donor and volunteer records and timely processing of charitable contributions.
- Prepare reports, donor acknowledgments, mass mailings, and fundraising support materials for philanthropy, finance, and leadership.
- Research and resolve data discrepancies, support agency systems, and recommend process improvements.
- Assist with special projects, agency initiatives, events, and provide cross-department administrative support as needed.
- Partner with philanthropy and finance staff to support donor reporting, fundraising initiatives, and operational needs.
What You Bring
We're looking for someone with:
- Two years of progressively responsible administrative or office support experience required.
- Experience maintaining databases or records management systems; experience with donor databases such as Bloomerang is strongly preferred.
- Strong organizational skills, attention to detail, accuracy, initiative, and sound judgment.
- Excellent written, verbal, listening, and customer service skills.
- Strong analytical, critical thinking, research, and problem-solving abilities with the ability to identify patterns and ensure data integrity.
- Proficiency with Microsoft Office, Google Workspace, and spreadsheet applications.
- Ability to manage multiple priorities, meet deadlines, and adapt in a fast-paced environment.
- Ability to work independently while collaborating effectively across departments.
- Ability to maintain strict confidentiality and appropriately handle sensitive information.
- Ability to interact professionally with individuals from diverse socioeconomic backgrounds and marginalized communities.
- Valid driver's license and proof of liability insurance meeting Idaho requirements if driving on behalf of WCA.
