Position Overview
We are seeking a detail-oriented and organized Sales Coordinator to support sales efforts across our select service hotel portfolio, including midscale Hilton and Marriott International branded properties.
This role is ideal for someone who enjoys both administrative and guest-facing responsibilities, with a strong focus on organization, communication, and execution. The Sales Coordinator will work closely with the Area Director of Sales to support group and corporate business, ensuring a seamless experience from initial inquiry through execution.
Key Responsibilities
- Assist the Area Director of Sales with group and corporate account management
- Respond to inquiries and support sales communications (email, phone, and lead follow-up)
- Prepare and send group contracts, proposals, and agreements
- Coordinate and manage meeting room rentals, including setup details and billing
- Assist with event and group execution to ensure a smooth guest experience
- Accurately enter and maintain rooming lists, reservations, and group blocks
- Track and update group pick-up, cut-off dates, and reporting
- Maintain organized sales files, documentation, and correspondence
- Input and manage leads in brand systems (e.g., Marriott/Hilton sales platforms)
- Support rate loading and inventory coordination as directed
- Assist with site tours and client visits as needed
- Coordinate with Front Desk, Housekeeping, and Maintenance to ensure group readiness
- Help managebilling, folios, and post-event follow-up
- Support local outreach, prospecting, and relationship-building efforts
Qualifications
- Prior hotel, sales, or administrative experience preferred (hospitality strongly preferred)
- Strong attention to detail and organizational skills
- Excellent written and verbal communication
- Ability to manage multiple priorities and deadlines
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience with hotel systems (e.g., PMS, sales platforms) is a plus
- Self-motivated with the ability to work independently and as part of a team
