Position Overview
Hands-on administrative systems role responsible for creating, maintaining, and improving the processes that help a growing company operate with cleaner handoffs and better visibility. This position is ideal for someone who has demonstrated experience building practical systems, executing those systems consistently, tracking deadlines and follow-up, preparing recurring reports, and adjusting processes as business needs evolve.
Key Responsibilities
Keep the office running
- Maintain office supplies, shared spaces, and daily organization
- Coordinate equipment, technology, access, and vendors
- Support front desk, visitors, phones, and meetings as needed
Manage administrative flow
- Sort and route mail, invoices, permits, and documents
- Maintain shared folders, trackers, and records
- Ensure information reaches the right person quickly
Run systems & processes
- Manage platforms (QSR Engagement, McHire, shared drives, trackers)
- Support job postings, user updates, and routine system cleanup
- Create SOPs, checklists, calendars, and repeatable workflows
Track & improve operations
- Prepare recurring reports and rankings
- Maintain renewal calendars and follow-up trackers
- Identify gaps and improve processes over time
Support teams across the business
- Support systems and document support for various company departments
- Help work move smoothly between departments

Preferred Background
- Office admin, operations, or coordination experience
- Fast-paced or multi-location business experience
- Experience with recruiting or engagement platforms
- High school diploma or equivalent (additional coursework a plus)
