Job Summary
The Case Manager is a critical member of a civil litigation practice, responsible for coordinating case activity, managing discovery, supporting litigation strategy, and ensuring the attorney is fully prepared at every stage of the case. This role requires strong analytical skills, exceptional organization, and the ability to anticipate litigation needs before they arise. The Case Manager ensures cases progress efficiently from intake through trial or settlement, serving as the operational backbone of the attorney’s workflow.
Duties
- Manage and maintain comprehensive case files using document management systems such as Clio, ensuring accuracy and confidentiality.
- Conduct thorough client intake interviews, gather factual background, identify legal issues, and prepare detailed case summaries for attorney review.
- Request, collect, and preserve documents, photos, communications, medical records, employment records, and other evidence. Maintain chain‑of‑custody when necessary.
- Prepare interrogatories, requests for production, and requests for admission tailored to case strategy.
- Draft requests that target specific factual gaps, anticipate defenses, and support upcoming motions.
- Ensure requests comply with Utah Rules of Civil Procedure and court‑specific requirements.
- Maintain organized digital and physical case files, including pleadings, correspondence, discovery materials, and evidence.
- Prepare letters, notices, declarations, exhibit lists, deposition summaries, and hearing binders under attorney supervision.
- File documents with state and federal courts, schedule hearings, and coordinate with clerks.
- Assist in preparing outlines, exhibit packets, witness files, and logistical arrangements.
- Support creation of trial binders, exhibit notebooks, witness lists, jury instructions, and trial timelines.
- Identify strengths, weaknesses, missing information, and potential discovery targets early in the case.
- Draft initial disclosures including witness lists, document lists, damage calculations, and supporting evidence.
- Maintain ongoing supplemental disclosures as new information emerges.
- Coordinate with clients and experts to ensure disclosures are complete and accurate.
- Build and maintain detailed timelines of events, integrating client statements, documents, and external records.
- Assist in drafting legal documents including pleadings, motions, and correspondence with precision and clarity.
- Coordinate case activities by scheduling depositions, court appearances, client meetings, and tracking deadlines in compliance with procedural law requirements.
- Review and analyze legal documents for relevance and accuracy; perform proofreading and transcription tasks to ensure high-quality submissions.
- Support attorneys with project management tasks related to litigation timelines, document review processes, and data entry for case tracking.
- Provide exceptional administrative support through phone etiquette, organizational skills, filing, data management, and clerical assistance to streamline office operations.
Qualifications
- Proven experience as a paralegal or litigation case manager with a strong background in legal administrative functions with an emphasis on civil litigation.
- Experience with document management systems like Clio and Box is highly desirable.
- Strong project management skills with the ability to prioritize multiple cases efficiently while maintaining attention to detail.
- Excellent writing skills for drafting legal documents; keen proofreading abilities; adept at transcription when needed.
- Knowledge of procedural law to ensure compliance with court rules
- Exceptional organizational skills paired with effective communication techniques; ability to handle confidential information discreetly.
- Demonstrated clerical experience including filing systems, data entry accuracy, phone etiquette mastery, and administrative support capabilities.
