Overview
We are seeking a highly motivated, well organized, relationship-driven, and detail-oriented Business Development Associate to join our team. In this role, you will be responsible for sourcing hotel options for client programs and events, building strong supplier relationships, and negotiating competitive contracts that deliver exceptional value and service. This individual will provide direct, proactive support to executive, managing daily priorities and ensuring alignment with business objectives.
This role is ideal for someone who thrives in hospitality sales, with strong negotiation skills, and a passion for hospitality and relationship-building. This role provides executive support in daily operations, providing back-up during travel while proactively anticipating needs and maintaining business production.
Responsibilities
- Source and secure hotel properties that align with client needs, budgets, and event objectives
- Research and evaluate hotel options based on location, amenities, pricing, availability, and contract terms
- Lead contract negotiations with hotel partners to secure favorable rates, concessions, and contract terms
- Build and maintain strong relationships with hotel sales teams and key hospitality partners
- Enter and manage event proposals through our sourcing platform, track responses, and maintain availability reporting
- Manage hotel response follow-up, reporting cleanup, and sourcing documentation to ensure timely and accurate contract execution
- Prepare and present proposal and marketing-related materials, including outgoing presentations, promotional collateral, hotel proposals, and client-facing documents
- Coordinate lodging, transportation and site visit logistics for clients, including fully customized site visit agendas
- Coordinate turnover processes, including contract submission, accounting booking recaps, transition coordination with hotel and customer contacts, with post-booking communication timelines
- Track event milestones and follow up communication, including welcome messaging, release-space, attrition deadlines, deposit notices, and post-event reconciliation
- Monitor executive and client communications, including email and voicemail responses when appropriate to ensure timely follow-up
- Schedule and maintain calendars for meetings, conference calls, client and executive travel, trade shows and industry events
- Support client development efforts by maintaining records, updating contact traces, and tracking client engagement activity
- Analyze market trends, pricing opportunities, hotel availability and contract details to identify cost-saving opportunities and strategic sourcing advantages
- Ensure all contracts are accurate, compliant, and executed in a timely manner
- Collaborate closely with internal sales, event planning, and operations teams
- Track sourcing activity and maintain accurate records within CRM and reporting systems
- Stay informed on hospitality industry trends, market changes, and emerging opportunities
- Actively prospect and solicit new business opportunities and client accounts to support company growth objectives
Qualifications
- A Minimum of 3+ years of experience in hotel sales required, hospitality sourcing, event planning, and/or contract negotiations (non-negotiable requirement)
- Bachelor’s degree in Hospitality, Hotel, Restaurant & Tourism Management, Business, Marketing, or related field preferred
- Strong negotiation and relationship-management skills
- Excellent written and verbal communication skills
- Highly organized with exceptional attention to detail
- Ability to manage multiple projects and deadlines in a fast-paced environment
- Strong analytical and problem-solving abilities
- Proficiency with Microsoft Office Suite, CRM/database systems, or comparable sourcing tools preferred
- Knowledge of hotel contracts, concessions, and hospitality sales processes is highly preferred
