Operations Lead (Front Desk & Administrative Support)
Location: Hartland, WI
Compensation: $15.50/hour starting
Schedule: 22-30 hours per week (weekday and occasional weekend flexibility required for special events)
Monday - 1:30pm-5:15pm
Tuesday - 1:30pm - 6:15pm
Wednesday - 1:30pm - 5:15pm
Thursday - 1:30pm - 6:15pm
Friday - 7:45am - 3:15pm

Our collective includes chiropractic, physical therapy, massage, Pilates, movement, and mindfulness professionals working together in a supportive, client-centered environment.
We’re seeking a detail-oriented and compassionate Operations Lead to manage the flow of the front desk, provide administrative support, and ensure smooth daily operations. This position is ideal for someone who thrives in a people-focused setting and values organization, professionalism, and confidentiality.
Key Responsibilities
- Greet and check in clients with warmth and professionalism, creating a welcoming experience that reflects the Solmira ethos.
- Manage scheduling, phone calls, and client communications using our practice management system.
- Accurately transcribe physician and practitioner notes into electronic health records; maintain organized and compliant documentation.
- Ensure HIPAA compliance at all times when handling sensitive patient information and records.
- Assist with billing coordination, intake forms, and appointment confirmations.
- Maintain office cleanliness, organization, and supply levels.
- Support practitioners with operational needs, including communication and scheduling across disciplines.
- Monitor and Build Social Media Accounts
Qualifications
- Previous experience in a healthcare, wellness, or administrative setting preferred
- Strong computer and data-entry skills
- Working knowledge of HIPAA regulations and patient confidentiality standards
- Excellent communication and multitasking abilities
- Friendly, professional demeanor with strong attention to detail
- Reliable, punctual, and proactive problem solver
- Comfortable learning scheduling and documentation systems (training provided)
