The IT Asset Manager is responsible for the complete lifecycle management of all IT hardware, software, licensing, maintenance agreements, warranties, and technology procurement activities. This position ensures that all technology assets are accurately tracked from acquisition through retirement while maintaining compliance with organizational policies, software licensing requirements, cybersecurity standards, and financial accountability.
The IT Asset Manager serves as the central point of coordination between Information Technology, Procurement, Finance, and business stakeholders to optimize technology investments, control costs, and maintain an accurate enterprise asset inventory.
This role requires the ability to obtain an active DOE Q security clearance (or equivalent DoD TS).
Hardware & Software Procurement:
- Manages procurement of all IT hardware, software, peripherals, networking equipment, and data center infrastructure;
- Obtains vendor quotations and negotiates pricing;
- Coordinates purchase requests, purchase orders, receiving, and asset tagging; and
- Ensures purchases comply with organizational standards and approved technology roadmaps.
Software License Management:
- Maintains enterprise software licensing records;
- Tracks license utilization and renewal dates;
- Ensures compliance with software vendor agreements;
- Identifies opportunities to eliminate unused or underutilized licenses; and
- Coordinates software audits.
Vendor & Contract Management:
- Manages IT maintenance agreements, warranties, subscriptions, and support contracts;
- Tracks contract expiration dates;
- Coordinates contract renewals; and
- Maintains relationships with technology vendors and resellers.
Inventory Management:
- Performs regular physical inventory audits;
- Reconciles inventory discrepancies;
- Ensures all assets are properly tagged and documented; and
- Produces inventory reports for management.
Financial Management:
- Assists with annual IT budgeting;
- Forecasts technology replacement costs;
- Monitors IT spending against budget; and
- Tracks capital and operational technology expenditures.
Compliance & Governance:
- Ensures compliance with organizational asset management policies;
- Supports internal and external audits;
- Maintains documentation supporting cybersecurity frameworks and regulatory requirements; and
- Ensures chain-of-custody documentation for sensitive assets.
Asset Lifecycle Management:
- Manages the full lifecycle of all IT assets including procurement, deployment, maintenance, inventory, reassignment, and disposal;
- Maintains an accurate Configuration Management Database (CMDB) and asset inventory;
- Tracks hardware refresh cycles and recommend replacement schedules; and
- Coordinates secure disposal and destruction of retired equipment.
Reporting:
Develops and maintains reports including:
- Hardware inventory
- Software licensing
- Warranty status
- Contract renewals
- Asset depreciation
- Technology refresh planning
- Procurement metrics
- Budget forecasting
Basic qualifications
- Active DOE Q security clearance (or equivalent DoD TS)
- Bachelor's degree in Information Technology, Business Administration, Supply Chain Management, or related field (or equivalent experience)
- Minimum of five (5) years of experience in IT Asset Management, IT Procurement, or Technology Operations
- Experience managing enterprise hardware and software inventories
- Knowledge of software licensing models from Microsoft, Adobe, VMware, Cisco, and other enterprise vendors
- Experience with IT Service Management (ITSM) platforms such as ServiceNow, Jira Service Management, Freshservice, or ManageEngine
- Strong organizational and analytical skills
- Excellent communication and vendor management abilities
- Proficiency with Microsoft Excel and reporting tools

- Certified Hardware Asset Management Professional (CHAMP)

- ITIL Foundation Certification

Pay range: $75,000 - $X125,000 depending on education and experience
