Essential Duties and Responsibilities

Prepare, review, and finalize project quotes and proposals for the Construction Department.

Maintain and verify employee state licenses, certifications, and other required credentials to ensure compliance with company and regulatory requirements.

Perform accurate data entry and maintain project information using Microsoft Excel and other company software.

Serve as a point of contact for customers, vendors, and field technicians by addressing questions, resolving concerns, and facilitating effective communication.

Coordinate project documentation, contracts, permits, and other administrative records.

Maintain organized filing systems, both electronic and paper, ensuring documents are accurate, current, and easily accessible.

Assist with scheduling, tracking project progress, and updating project records.

Support department managers with administrative tasks and special projects as needed.

Monitor deadlines and follow up on outstanding documentation to keep projects moving forward.

Perform other duties as assigned.
Qualifications
-
High school diploma or equivalent required; associate degree in business, construction management, or a related field preferred.

Minimum of 2 years of administrative or project coordination experience, preferably in the construction industry.

Proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Word.

Strong organizational, multitasking, and time management skills.

Excellent written and verbal communication skills.

Ability to work independently while managing multiple priorities in a fast-paced environment.

Strong attention to detail and problem-solving abilities.

Experience with construction management software is a plus.
