Job Overview
Green Industrial Services is seeking a bilingual administrative office assistant to support daily operations at our Jasper, IN office. The ideal candidate will have strong communication skills, be reliable, and be able to collaborate well with others! The ideal candidate must be fluent in both English and Spanish. Responsibilities
- Perform office tasks from Monday-Friday during the assigned schedule as indicated on the daily, weekly, and monthly task lists provided by the Regional Office Mgr.
- Sign off on all position related DWIs (Detailed Work Instructions) and apply them as required
- Inform potential employees about open positions and accept employment applications
- Perform regular communication with employees, other office personnel, Regional Office Mgr, production leadership and clients
- Maintain orientation packets
- Maintain and communicate with employees as directed via text app
- Pass out employee paychecks
- Maintain office supplies and PPE
- Maintain the office in a clean and orderly fashion
- Provide Admin backup for the following activities as needed: employee health coverage enrollment, scheduling and implementation of employee orientation sessions, maintaining van logs and mileage sheets, creating employee notifications
- Perform other tasks as indicated by Regional Office Mgr

Working Conditions
- This position is an in-person desk assignment and will be assigned a desk in the Jasper, IN office. Occasional travel between local offices and to client locations may be required. Client-site visits-if required- may entail exposure to loud noises, bright lights, dropped objects and/or dust inhalation. On these occasions, proper PPE will always be provided by the employer and use of such required whenever necessary
Physical or Mental Job Demands
- This position may require light lifting-under 50 lbs- from time to time. Minimal exercise-standing/stooping/climbing/walking/etc.-is required for the job. This job may require long periods of focused attention, the ability to juggle several tasks, the ability to frequently talk to people on the phone, etc.
Education and/or Experience Requirements
- Satisfactory related professional experience
Travel Requirements
- Occasional travel to additional offices and clients may be required
Skills
- Bilingual fluency in English and Spanish is required
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Strong computer literacy with experience in data entry
- Excellent organizational skills with the ability to multitask effectively in a busy environment
- Demonstrated experience in front desk or receptionist roles
- Exceptional phone etiquette skills with experience handling multi-line phone systems
- Clerical experience including filing, proofreading, and calendar management
- Strong time management skills to prioritize tasks efficiently
- Ability to work independently with minimal supervision while maintaining attention to detail
