Summary
This position is responsible for: performing background checks of new hires, supporting the hiring process and procedures of new employees, the process regarding hiring and compensation of employees involved in various school clubs and activities, scheduling meetings for human resources staff, providing clerical support during meetings, filing and organizing employee files, and other clerical duties as assigned.
Essential Duties and Responsibilities The following are duties typically expected of this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Supports and collaborates with the Human Resources team in the hiring process and procedures. (i.e. posting, facilitation of screening process, scheduling of interviews, following up with applicants, ensuring all policies and procedures are followed during the hiring process).
- Receives and screens visitors and telephone calls, takes messages, routine inquiries from staff and public. Refer appropriate inquiries or problems to the appropriate staff; provides customer service on phone and in-person to a variety of audiences.
- Ensures all background checks are complete for all new hires prior to the approved hiring of employees. Communicates with hiring supervisors the results of the background check.
- Supports the process and procedures regarding hiring and compensation of employees involved in various school clubs and activities.
- Assists in the process of updating job descriptions and employee evaluation documents.
- Performs clerical duties within the Human Resources department in filing and organizing confidential employee files and information.
- Assists in the preparation and running of standard and custom reports as requested.
- Acts as liaison for specific employee groups and/or schools by supporting them with general human resources questions focused on insurance, compensation, support resources, and other human resource related areas.
- Assists with the management of data including gathering, entry, retrieval, updates, verification and deletion from electronic and paper records.
- Maintains confidentiality of documents and information received for staff and students.
- Serves as a backup and support to our district Substitute Coordinator: ensuring timely placement of substitute staff, hiring process and procedure of substitute staff, supporting other departments to schedule events requiring substitutes, and maintaining our electronic records in absence management and substitute requesting software.
- Assists with departmental data management, electronic personnel files, and new hire paperwork
- Performs additional projects and duties as delegated by HR leadership.
- Assists in the preparation of budgets, financial reports; prepares and monitors any financial records, purchase orders, invoices, check preps; processes student payments; basic accounting for accounts.

EDUCATION and/or EXPERIENCE:
- High school graduate with three to five years secretarial or administrative experience in a fastpaced Human Resources office environment, or any combination of education and experience that provides equivalent knowledge, skills, and abilities focused on Human Resources.
- Valid driver's license.
- Bilingual in Spanish (preferred).
COMMUNICATION AND INTERPERSONAL SKILLS:
- Ability to comprehend and interpret a variety of documents including confidential files, health cards, reimbursable absence forms, computer manuals, student/parent handbook, etc.
- Ability to respond to common inquiries or complaints from students, staff.
- Ability to prepare a variety of documents using prescribed format and conforming to all rules of punctuation, grammar, diction and style.
- Ability to provide excellent customer service to a variety of audiences while responding to requests for information, explain procedures and follow instructions.
- Ability to communicate effectively with employees, students, parents, administrators, school staff, sales representatives, delivery persons, police officers, School Board members, nurses, the general public, and others verbally and in writing.
- Ability to work independently and multi-task in an organized manner and prioritize tasks to ensure completion of all job responsibilities within designated deadlines.

COMPUTER SKILLS:
- Proficiency in the usage of accounting, database software, internet software, e- mail and word processing software.
- Ability to proficiently use the following programs strongly preferred: MS Word, MS PowerPoint,
Publisher, Excel, as well as proficiency in Google Applications.
- Ability to type accurately and proficiently.
- Working knowledge of office software systems, including knowledge of HRIS including payroll systems and applicable HR/payroll processes.
MATHEMATICAL SKILLS:
- Ability to add, subtract, multiply, divide and calculate decimals and percentages.
- Skilled in working with spreadsheet application and formulas.
ENVIRONMENTAL ADAPTABILITY:
- Ability to work effectively in an office environment.
- Occasionally required to work outside of normal school hours as needed for special events.
PHYSICAL REQUIREMENTS:
- Ability to operate a variety of office equipment including computer, photocopier, calculator, fax machine, telephone switchboard, etc.
- Must demonstrate proficiency through Skill Check testing (typing speed and accuracy, grammar, proofreading and MS Office word processing).
- Must have current physical on file with the District Office certifying applicant is able to meet all job qualifications or the ability to complete the physical within 30 days of start date.
- Ability to lift and/or move up to 30 pounds.
- While performing the duties of this job, the employee is regularly required to sit and talk or hear and occasionally required to stand; walk; and reach with hands and arms.
- Specific vision abilities required by this job include close vision and distance vision.
- Completion of a physical examination as required by Wisconsin Statute 118.25.
