This role serves as the central coordination hub for project logistics, ensuring materials, equipment, crews, and documentation are managed efficiently across multiple active job sites.
The ideal candidate thrives in a fast-paced construction environment, enjoys solving problems, and can independently manage competing priorities while maintaining exceptional attention to detail. Success in this role requires strong communication skills, construction knowledge, and a commitment to keeping projects on schedule, compliant, and moving forward.
What You’ll Do
-
Coordinate daily and weekly project schedules, ensuring crews, equipment, and materials are properly assigned and optimized across active projects.
-
Assist with the preparation, distribution, tracking, and documentation of change orders and contractual agreements in partnership with the Project Manager and Director of Contracts.
-
Serve as the primary point of contact for suppliers and material vendors to monitor order status, confirm delivery schedules, and resolve shortages or delays.
-
Support Project Managers with subcontractor documentation, scheduling coordination, and communication efforts.
-
Collect, organize, and submit project submittals, including color selections, product specifications, and certification approvals.
-
Prepare, issue, and track purchase orders for materials, services, and subcontractors in alignment with project budgets and timelines.
-
Submit and manage permit applications and assist with inspections and compliance documentation.
-
Monitor project progress, maintain project management systems, and proactively address challenges by escalating issues with recommended solutions.
-
Support site supervisors with project documentation, safety compliance, and quality control processes.
-
Maintain accurate records of deliveries, equipment usage, project milestones, change orders, and other critical project documentation.
-
Facilitate communication between field teams and office staff to ensure alignment on schedules, resources, and project objectives.
-
Assist with client communications, scheduling updates, and coordination of meetings while representing the construction team professionally.
-
Compile and submit project closeout documentation, including warranties, as-built documentation, operation and maintenance manuals, and final inspection approvals.
-
Support Project Managers in preparing weekly and monthly project status reports.
-
Identify opportunities to improve scheduling, communication, documentation, and field coordination processes.
What You’ll Bring
-
Previous experience in construction coordination, project administration, project support, or a similar construction-related role.
-
Working knowledge of construction sequencing, site logistics, permitting processes, safety standards, and quality control requirements.
-
Experience coordinating multiple projects simultaneously while maintaining attention to detail and meeting deadlines.
-
Proficiency with project management software, ERP systems, and Microsoft Office applications; experience with Build/Forma, Microsoft Project, or similar platforms is preferred.
-
Strong organizational, communication, and problem-solving skills.
-
Ability to manage priorities independently with minimal supervision.
-
Demonstrated ability to maintain accurate and thorough project documentation.
-
Strong scheduling and resource coordination skills with the ability to keep projects moving within contractual timelines.
-
A solutions-oriented mindset that focuses on resolving issues rather than simply identifying them.
-
Collaborative, team-focused approach with a high level of accountability, initiative, and professionalism.
Physical Requirements
-
Prolonged periods of sitting and working on a computer.
-
Ability to perform repetitive administrative tasks with a high degree of accuracy.
-
Occasional lifting of up to 20 pounds.
Work Environment
This is a remote/hybrid position that requires regular coordination with project teams, vendors, suppliers, clients, and field personnel. Occasional travel to project sites may be required to support project coordination, inspections, documentation, or operational needs.
