The Austin Asian Community Health Initiative (AACHI) is a 501(c)(3) nonprofit organization dedicated to improving the health and well-being of Asians and Asian Americans in Central Texas through advocacy, education, and support. Under the supervision of the Executive Director, the part-time Operations & Finance Coordinator is responsible for core financial administration, office and vendor management, and organizational communications, ensuring AACHI’s day-to-day operations run smoothly. This position has the possibility of transitioning to full-time contingent on funding availability. The role is well-suited for someone who enjoys figuring things out independently and proactively flagging issues alongside proposed solutions.
Hours: 20 hours per week, Monday through Thursday during regular business hours; specific schedule to be determined with supervisor

Essential Duties and Responsibilities
The essential functions include, but are not limited to, the following:
Finance and Accounting Support
- Prepare and submit monthly reimbursement claims and invoices to funders via the appropriate platforms, ensuring accuracy and timeliness.
- Collect and organize receipts for all organizational purchases, upload documentation to the accounting platform (Dext), and submit monthly transaction records to the accounting contractor.
- Support bookkeeping by maintaining accurate, well-organized financial records for all expenditures.
- Track contract payment statuses and communicate with funders as needed to ensure timely processing.
- Assist the Executive Director in completing annual compliance filings, including mid-year funder spending reports, the organizational tax return (Form 990), and audit or financial review.
- Complete required funder financial monitoring tasks by applicable deadlines.
Office and Vendor Management
- Manage relationships with external vendors and contractors, ensuring invoices are reviewed and payments are submitted on time.
- Maintain organizational login credentials and shared administrative records.
- Purchase and track office and program supplies as requested by staff.
- Liaise with building management on office-related needs and maintain a clean, organized office environment.
Communications and Administrative Support
- Monitor organizational administrative email inboxes and route messages to relevant staff on a regular basis.
- Answer and route calls from AACHI's main phone line, check and review incoming mail, and distribute or forward relevant items to the appropriate staff.
- Maintain the organizational holiday calendar and staff calendar invites.
- Attend monthly all-staff meetings and weekly check-ins with the Executive Director.
- Provide general administrative support and assist with organizational projects as directed by the Executive Director.
Minimum Qualifications
- At least two years of experience in nonprofit operations, financial administration, office management, or a related role; relevant lived or volunteer experience welcomed in lieu of formal employment.
- Demonstrated ability to manage recurring deadlines and financial tasks with minimal supervision, maintaining accuracy and follow-through in a part-time, largely self-directed schedule.
- Comfort with financial recordkeeping and basic bookkeeping support, including organizing receipts, reconciling expenditures, and working with accounting platforms.
- Proficiency with Google Workspace; ability to learn grant reporting and financial platforms.
- Strong written and verbal communication skills.
- Commitment to AACHI’s mission and values, including equity, diversity, and inclusion.
- Ability to exercise good judgment, maintain confidentiality, and represent AACHI professionally.
Preferred Qualifications
- Familiarity with nonprofit grant reporting and funder compliance requirements.
- Prior experience with PartnerGrants, Dext, or similar platforms.
- Knowledge of public health or health equity issues, particularly in Asian American communities.
- Familiarity with IT vendor management and basic office technology troubleshooting.
