Legal Secretary / Administrative Assistant
We are a small, private law practice seeking a personable, organized, and dependable candidate for a Legal Secretary/Administrative Assistant position. The ideal candidate will possess excellent communication and organizational skills, attention to detail, and the ability to manage multiple priorities effectively. Applicants should be team-oriented, resourceful, and proficient with Microsoft Office and QuickBooks.
Responsibilities include, but are not limited to:
- Preparing and processing client billing and issuing invoices to billing attorneys.
- Posting and applying incoming payments to the appropriate client accounts.
- Preparing, organizing, and maintaining physical and electronic client files.
- Filing legal documents with local, state, and federal courts, both electronically and in person, as required.
- Processing incoming and outgoing mail and coordinating deliveries.
- Scanning, copying, and managing legal documents and correspondence.
- Assisting attorneys with daily administrative and case management tasks.
- Answering and directing telephone calls while maintaining a professional and courteous demeanor.
- Scheduling appointments, maintaining calendars, and coordinating meetings as needed.
- Maintaining confidentiality of client information and ensuring compliance with office procedures and ethical standards.
- Serving as a Notary Public or obtaining a notary commission within a reasonable period after hire.
- Obtaining and maintaining any required credentials to serve as a Hearing Representative within a reasonable period after hire
Qualifications:.
- Strong written and verbal communication skills.
- Excellent organizational skills and meticulous attention to detail.
- Ability to prioritize tasks, meet deadlines, and work effectively both independently and as part of a team.
- Professional phone etiquette and customer service experience preferred.
- Experience in a legal office or law firm is preferred but not required.
- Proficiency in Microsoft Office Suite; QuickBooks experience is preferred.
- Current Notary Public commission preferred, or willingness and ability to obtain one after hire.
- Eligibility to become a Hearing Representative is preferred, or willingness and ability to obtain any required credentials after hire.
