Receptionist & Administrative Assistant (Full-Time, In-Office)
Financial Services company is seeking a professional, reliable, and client-focused Receptionist & Administrative Assistant to join our team. This full-time, in-office position serves as the first point of contact for clients, vendors, and visitors while providing administrative support to our advisors and office operations.
The ideal candidate is organized, personable, detail-oriented, and thrives in a professional office environment. This role is critical to delivering an exceptional client experience and maintaining the efficient day-to-day operation of our office.
Primary Functions & Essential Responsibilities
Reception & Client Service
- Greet clients, guests, and vendors in a warm, professional manner
- Serve as the primary point of contact for incoming office visitors and inquiries
- Answer and direct incoming phone calls to the appropriate team members
- Confirm appointments and assist with calendar management
- Maintain a welcoming and professional reception area
- Provide exceptional customer service to clients and prospective clients
Administrative Support
- Provide administrative support to advisors and leadership, including:
- Scheduling meetings and managing calendars
- Preparing reports and organizing client materials
- Assisting with presentations, client packets, and documentation
- Processing incoming and outgoing correspondence
- Manage office email inquiries and general administrative communications
- Order office supplies and coordinate office-related needs
- Maintain electronic and physical filing systems
- Assist with seminar preparation, including assembling presentation materials and client packets
- Support general office projects and other administrative duties as assigned
- Maintain confidentiality when handling sensitive client and business information
Qualifications
Education & Experience
- 2–3 years of experience in a receptionist, administrative assistant, customer service, or office support role
- Experience in a financial services, insurance, professional services, education or real estate environment is preferred
Skills & Requirements
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Excellent telephone etiquette and interpersonal skills
- Professional demeanor, appearance, and communication style
- Strong written and verbal communication skills
- Highly organized with exceptional attention to detail
- Ability to prioritize tasks and manage multiple responsibilities simultaneously

Schedule & Work Environment
- Full-time, in-office position
- Standard work schedule: Monday–Friday, 9:00 AM–5:00 PM

Pay: $22.00 - $30.00 per hour
Work Location: In person
