We are seeking for full time or part time, a highly organized, personable, and dependable Administrative Assistant to join our Victoria office. Although this position involves no remote work from home, because our culture highly values our staff’s family, this can be an ideal position for a person with a need for flexible or unique work schedules (e.g. hours consistent with children’s school or extracurricular schedule, spouse’s vacation, etc). The hours and position can be tailored to the applicant.
Position Summary
This position will provide administrative and organizational support to our Victoria legal team, helping ensure the office operates efficiently while delivering exceptional service to our clients.
This position is ideal for someone who enjoys managing multiple priorities, organizing information. While previous legal experience is valued, we are equally interested in candidates with strong administrative experience who are eager to learn and grow within the legal profession.
Primary Responsibilities
· Provide administrative support to the Victoria legal team.
· Work with Excel spreadsheets, Type MS Word documents & Edit Adobe PDF documents
· Prepare, proofread, and format correspondence, reports, and other documents.
· Professionally assist clients and communicate by phone and email
· Monitor important deadlines.
· Organize and maintain electronic and paper files.
· Assist with office operations and special projects as needed.
· Learn and assist with legal-specific responsibilities as experience develops.
Qualifications
The ideal candidate will possess:
· Administrative support experience in a professional office environment. Experience in a law firm, corporate legal department, government office, banking, healthcare, insurance, or other professional services environment is preferred, but not required.
· Excellent written and verbal communication skills.
· Strong organizational and time-management abilities.
· Exceptional attention to detail and accuracy.
· Proficiency with Microsoft Word, Outlook, Adobe and Excel is helpful.
· A positive attitude, strong work ethic, an ability to focus on a project and a willingness to learn.
