The Front Desk Coordinator is the first point of contact for patients at_____. This role is responsible for creating an exceptional client experience, managing daily front desk operations, supporting providers, and ensuring smooth clinic flow. The ideal candidate is professional, detail-oriented, and passionate about aesthetics and patient care.
Greet all patients warmly, provide check-in/check-out support, and ensure a seamless guest experience.
Manage phones, emails, and text inquiries with professionalism and timeliness.
Schedule and confirm appointments using clinic software (e.g., Aesthetic Record, Boulevard, or comparable system).
Collect payments, process memberships/packages, and reconcile daily sales.
Maintain lobby cleanliness, presentation of retail products, and restock supplies as needed.
Patient follow up and re-engagement
Retail Sales of skin care
Support providers by preparing treatment rooms and assisting with patient flow.
Track KPIs such as rebooking, membership sign-ups, and retail sales.
Follow HIPAA and clinic confidentiality standards at all times.
Transferring paper charts into EMR
Support laundry needs and kitchen tasks
Light housekeeping around office (as needed and end of day)
Assistance with preparation of surgical charts and documentation for upcoming surgical cases
Assistance creating quotes for surgical procedures
Discuss patient financing options
Conduct follow-up outreach for consultations
