Job Title: Legal Secretary (Temporary, Full-Time)
Job Overview
We are a small law firm seeking an organized, reliable Legal Secretary to join our small, collaborative team. This is a full-time, temporary position that provides vital operational support. You will serve as the first point of contact for prospective and current clients, manage our physical filing system, handle payments, and assist our paralegal with daily administrative duties. The ideal candidate is organized, professional, and comfortable handling confidential information in a fast-paced legal environment.
Schedule & Compensation
- Hours: Full-time, Monday-Thursday 8-5 and Friday 8-12
- Pay Rate: $15.00 – $18.00 per hour (Based on experience)

Key Responsibilities
- Front Office: Answer general phone lines, greet visitors, and process physical mail.
- Intake & Screening: Answer prospective client phone calls and take highly detailed, thorough notes regarding their situation to help the attorney evaluate the potential case.
- Payment Processing: Securely take and record payments from clients in person or over the phone.
- Physical Filing: Sort, organize, and add legal documents directly into paper files in the central filing cabinets. Open and maintain new criminal case files. (Note: This role does not handle court e-filing).
- Paralegal Support: Assist the paralegal with clerical tasks like scanning, printing, scheduling, and document preparation. Contact clients ahead of scheduled dockets and court dates. Draft and send court-related correspondence and letters.
- Team Support: Execute daily administrative tasks, following precise instructions provided by both the attorney and the paralegal.
Qualifications
- Experience: 1+ years of general office or administrative experience preferred.
- Typing Skills: Strong, accurate, and fast typing skills to quickly document notes from the attorney.
- Strong computer skills: Proficient in Microsoft Excel, Word, and Google Calendar.
- Attention to Detail: Excellent listening skills to capture thorough notes and accurately organize physical paperwork.
- Financial Reliability: Comfortable handling money and processing basic client transactions.
- Communication: Warm, professional phone presence and ability to maintain strict client confidentiality.
- Professionalism: Excellent listening skills with a strong ability to follow verbal and written directions from supervising staff.
Prior experience in a legal office or administrative role preferred. Familiarity with criminal law procedures is a plus.
This position requires professionalism, attention to detail, and the ability to multitask in a busy legal office.
