The Safe and Healthy Schools Bureau believe that ALL students can become successful and responsible individuals who value and choose an active and healthy lifestyle.
Through leadership and teamwork, the Bureau advocates and provides support for schools and families to implement school health programs, and health and nutrition services. Through intra/inter and community agency collaboration, the Bureau works to promote healthier schools by providing professional development, technical assistance and resources to local education agencies. Schools are able to develop, implement and evaluate school health programs and activities, designed to improve instruction and increase student learning. Why does the job exist?
This position provides fiscal programmatic support to the bureau staff and contractors. Responsibilities would include navigating the PED's Operating Budget Management System (OBMS) to conduct fiscal programmatic reviews for submitted expenditures from funded partners according to contractual terms; working with funded partners for obtaining appropriate supporting documentation for submitted Request for Reimbursements (RfRs) items; verifying that all expenditures fall within the terms of the program and contracts; working with program directors and/or business managers to correct RfR submissions, and assisting bureau staff with travel logistics and expenses. Entering Requisitions (REQs) into the SHARE system. Some administration support for the bureau is also required.
How does it get done?
- Monitor and track bureau administrative budgets. Enter requisitions, track invoices, submit for and reconcile payment. Run and review SHARE financial reports to assist with budget tracking. Know and follow all PED internal processes to ensure processing of vendor payments.
- Interact with team members (bureau and other PED staff) to develop and route for approval all bureau contracts. Establish appropriate SHARE requisitions and track contractor billing and payments.

- Develop, distribute and track grantee grant award letters.
- Compile bureau data into reports.
- Work with bureau staff to ensure customers are able to navigate through SharePoint and OBMS. Maintain grantee contact list.
- Provide customer support to bureau customers.

New Mexico students, families, public school districts, charter schools, and the NMPED Cabinet Secretary.

Minimum Qualification
Associate Degree in Business Administration, Public Administration, or Accounting and one (1) year of directly related job experience in the areas of office administration, budgeting, purchasing, finance, accounting, auditing, cash management, contract management, and/or in the procedures of business and management principles involved in strategic planning. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling three (3) years may substitute for the required education and experience.
Employment Requirements
Must possess and maintain a valid New Mexico's Driver's License.
Working Conditions
Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required.
