We are seeking a motivated, organized, and detail-oriented Accounting Assistant / Administrative Assistant to join our growing construction team. This position plays a key role in supporting our accounting department and daily office operations.
Responsibilities
- Support the accounting department with daily administrative tasks
- Assist with new hire onboarding and paperwork
- Provide project administrative support
- Prepare and maintain job setup forms
- Prepare and track preliminary notices
- Assist with billing and lien releases
- Process and track Certificates of Insurance (COIs)
- Coordinate union dispatches
- Answer and direct incoming phone calls
- Greet customers and visitors professionally
- Receive and distribute incoming packages
- Maintain and stock office supplies
- Perform general office and administrative duties as assigned
Qualifications
- Previous accounting or administrative experience preferred
- Experience in the construction industry is a plus
- Experience with QuickBooks and Sage 100 is a plus
- Strong organizational skills and attention to detail
- Excellent communication and customer service skills
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Ability to prioritize and multitask in a fast-paced environment
- Bilingual (English/Spanish) is a plus
