JOB SUMMARY
The Legal Secretary provides comprehensive administrative and legal support to attorneys and paralegals within the Family Law practice group. This position requires exceptional organizational skills, attention to detail, discretion, and the ability to manage sensitive and confidential client matters. The Legal Secretary will coordinate case management activities, prepare legal documents, maintain attorney calendars, and serve as a primary point of contact for clients, courts, and opposing counsel.
JOB RESPONSIBILITIES

Provide administrative and legal support to Family Law attorneys and paralegals.

Prepare, revise, proofread, and format legal documents, correspondence, pleadings, motions, affidavits, financial disclosures, and court filings.

File legal documents electronically and in person with state and federal courts as required.

Manage attorney calendars, including scheduling court appearances, depositions, mediations, arbitrations, client meetings, and deadlines.

Coordinate and maintain case files, both electronic and physical, ensuring accuracy and organization.

Communicate professionally with clients, courts, opposing counsel, experts, and other third parties.

Assist with the preparation and organization of trial binders, hearing materials, mediation submissions, and exhibits.

Monitor case deadlines and maintain docketing systems to ensure compliance with court requirements.

Draft routine correspondence and legal forms for attorney review.

Process incoming and outgoing mail, courier deliveries, and service of legal documents.

Coordinate travel arrangements and expense reimbursements as needed.

Enter attorney time, prepare billing materials, and assist with client invoicing.

Handle highly confidential personal, financial, and family-related information with discretion and professionalism.

Support attorneys during trials, hearings, mediations, and settlement conferences.

Perform additional administrative and legal support duties as assigned.
QUALIFICATIONS

High school diploma or equivalent required.

Associate's degree, legal secretary certificate, or paralegal coursework preferred.

Minimum of 5 years of legal secretarial experience, preferably within Family Law.

Experience supporting multiple attorneys in a fast-paced law firm environment.

Familiarity with court filing procedures, legal terminology, and Family Law processes.

Proficiency in Microsoft Office Suite, including Word, Outlook, and Excel

Experience with document management, timekeeping, and billing systems.

Knowledge of electronic court filing systems and docketing procedures.

Strong typing, proofreading, and document formatting skills.

Strong written and verbal communication abilities.

This is a hybrid role with the expectation of 3 days in the office.
