The Dispatch Clerk provides administrative services in support of the IBEW Local 1245. An employee assigned to perform any clerical duties in addition to all related functions of dispatching members, working outside construction, PG&E, etc. Must be able to work alone in the office when the Business Representatives are out in the field. Must work within all guidelines and rules governing outside construction and PG&E dispatch policies. May be assigned to perform other duties as needed.
Essential Job Functions:
- General Responsibilities*
1. High volume Customer/Member service required in phone, over the counter, and written communication.
2. Updates and maintains databases regarding membership and Union Contractors information and tracking thereof.
3. Provides Union's administrative support such as, front desk support, membership support, and clerical support
4. Carry out administrative duties such as filing, typing, copying, binding, scanning,
5. Prepares materials, including letters/urgent correspondence for the Union to Contractors, letters, mailings, email blast notifications, forms, announcements, for General Office and Union activities.
6. Maintain computer and manual filing systems
7. Processes sign-ups, registration requests and complaints (telephone, email and walk-in) and refers to appropriate staff for resolution.
8. Works on special projects as assigned by immediate supervisor
Education/ Experience/Qualifications:
High School Diploma, GED, or equivalent certification; three years of experience in an administrative support role; must be intuitive, a self-starter, process oriented and driven to achieve excellence and deadlines.
1. Expertise using Microsoft 365 programs; SharePoint, Word, Excel, Power Point, Adobe, Access
2. Demonstrated ability to type 55 wpm
3. Knowledge of standard business documents and table formatting to prepare materials accurately
4. Ability to set up and maintain Excel spreadsheets, the ability to setup Access databases
5. Proficiency using the Internet as a research tool
6. Experience composing grammatically correct correspondence, and editing drafts to correct grammar, spelling and punctuation
7. Accounts receivables processing
8. Strong & Friendly customer service orientation for both internal and external customers.

10. Ability to communicate and relate respectfully with a diverse membership and staff
11. Commitment to provide accurate, efficient, and friendly service to staff and members

Physical Demands: Sitting at a computer workstation for extended periods (up to four hours at a time) typing and lifting to 20 pounds. Work long and irregular hours including nights and weekends.
