Overview
Union-Congregational Church of Waupun is seeking a detail-oriented Bookkeeper to manage the financial operations of our church office. Responsibilities include processing expenses and reimbursements, issuing checks for committee expenses, and maintaining petty cash and revolving loan accounts, while handling sensitive family support matters with discretion. The role also covers full payroll administration—new hire paperwork, raises, and quarterly/annual tax filings (941s, W-2s)—along with monthly reconciliations, budget tracking, and year-end reporting for the annual meeting. The ideal candidate is organized, trustworthy with confidential information, and comfortable working independently in a small office setting.
This position is currently performed on-site, with the possibility of partial remote work in the future. We estimate this role at approximately 10-20 hours per month, with additional time needed during payroll processing and year-end/tax deadlines. This is a salaried position, with no additional benefits.
General Duties
- Pay all expenses and allocate them to the proper account
- Issue checks for church committee expenses
- Verify and process reimbursements
- Work closely with the pastor on family support needs, maintaining confidentiality for individuals in need
- Reconcile and maintain petty cash
- Renew the revolving loan annually
Payroll
- Set up paperwork for new employees
- Maintain documentation for new hires and past employees
- Adjust employee files to reflect raises
- File and pay state and 941 taxes; process W-2s
- File proper year-end documents
- File quarterly 941 tax documents
Management Tasks
- Transfer funds to cover various fund expenses
- Reconcile checking and money market accounts monthly
- Monitor budgeted line items for overages
- Print reports as requested by committees or individuals
- Print year-end donation statements
- Enter the budget into the computer system
- Create file folders for the accounting year
- Match and verify receipts with invoices
- Complete year-end reconciliation of all line items
- Create year-end reports for the annual meeting
- Back up computer files
- Work closely with the pastor, treasurer, Finance Committee, and other committee chairs as appropriate
Qualifications
- General knowledge of proper bookkeeping procedures and practices, especially in nonprofit settings
- Able to maintain a high degree of confidentiality
- Experience with Church Windows (a church management software) is a plus but not required
- Prior experience with church bookkeeping and clergy taxes is a plus, but much can be learned on the job
- Able to work with others in a kind, courteous, and professional manner
