We are seeking a detail-oriented and organized Office Assistant to join our dynamic team. Responsibilities
- Assist with imputing and emailing estimates
- Handle tasks using QuickBooks software as needed
- Support customer support efforts by responding to inquiries via phone or email with professionalism and efficiency
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Utilize Microsoft Office Suite and Google Workspace for document creation, editing, and communication
- Schedule appointments, manage calendars, and coordinate meetings using calendar management tools
- Maintain office organization through filing systems, record keeping, and document management
- Provide clerical support such as typing correspondence, preparing reports, and managing office documentation
Skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Proficiency in QuickBooks software
- Strong organizational skills with excellent time management abilities
- Experience with office management, clerical tasks, data entry, and filing systems
- Exceptional customer service skills with professional phone etiquette and communication abilities
- Bilingual proficiency (English/Spanish) is preferred to serve diverse client needs effectively
- Ability to handle multi-line phone systems efficiently and professionally
- Office experience in administrative or medical receptionist roles is advantageous
- Strong proofreading skills to ensure accuracy in documents and correspondence
- Computer literacy with the ability to adapt to various office technologies quickly
Pay: From $19.00 per hour
