Payroll & Time & Attendance Coordinator
The Payroll & Time & Attendance Coordinator is responsible for the accurate administration of employee payroll, timekeeping, attendance records, and related payroll compliance activities. This position ensures employees are paid accurately and on time while maintaining compliance with federal, state, and local labor laws. The coordinator serves as a liaison between employees, supervisors, Human Resources, and Finance to resolve payroll and timekeeping issues efficiently.
Essential Duties and Responsibilities
Payroll Administration - ADP
- Process 1099 Weekly and Bi-weekly Payroll using ADP -Workforce Now System as outlined by each Payroll Schedule
- Review payroll data for accuracy, including hours worked, overtime, bonuses, deductions, and reimbursements.
- Verify employee payroll changes, including new hires, terminations, pay rate adjustments, and direct deposit updates.
- Maintain payroll records and ensure confidentiality of employee information.
- Prepare payroll reports for management, accounting, tax, and auditing purposes.
- Respond to employee payroll inquiries and resolve discrepancies promptly.
Time & Attendance Management – TSheets Time Clock
- Monitor employee timekeeping records in TSheets
- Review and audit timesheets for accuracy and compliance with company policies.
- Identify missing punches, attendance exceptions, and scheduling discrepancies.
- Coordinate with managers and supervisors to correct timekeeping errors before payroll processing.
- Maintain attendance records, PTO balances, vacation accruals, and leave tracking.
- Generate attendance and labor reports as needed.
Compliance & Recordkeeping – Labor Compliance Program (LCP) Tracker
- Upload and report payroll records to LCP Tracker for contracts designated by Miami Dade County
- Ensure compliance with federal, state, and local wage and hour regulations
- Maintain payroll and timekeeping documentation in accordance with record retention requirements.
- Assist with payroll audits, workers' compensation audits, and unemployment claims.
- Support year-end payroll activities, including W-2 processing and payroll reconciliations.
- Stay informed regarding payroll regulations and labor law updates.
System Administration
- Maintain payroll and timekeeping software systems.
- Assist with employee setup, user access, and system updates.
- Troubleshoot payroll and timekeeping system issues.
- Support implementation of process improvements and payroll automation initiatives.
Additional Responsibilities
- Assist Human Resources with onboarding and employee record maintenance.
- Prepare labor cost and attendance reports for operational leadership.
- Support special projects related to payroll, workforce management, and compliance.
- Perform other duties as assigned.
Qualifications
Education
- Associate’s degree in accounting, Business Administration, Human Resources, or related field preferred.
- Equivalent combination of education and experience may be considered.
Experience
- Minimum of 2 years of payroll, timekeeping, human resources, or accounting experience preferred.
- Experience with payroll and ADP Workforce Now.
- Experience processing payroll for multi-location and multi-schedule operations preferred.
Knowledge, Skills, and Abilities
- Strong understanding of payroll practices and wage and hour laws.
- Proficiency in payroll and timekeeping software (e.g., ADP, QuickBooks Payroll, or similar platforms).
- Advanced Microsoft Excel and data entry skills.
- Excellent organizational and time management abilities.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality and handle sensitive information.
- Excellent communication and customer service skills.
- Ability to work independently and meet strict deadlines.
Physical Requirements
- Prolonged periods of sitting and working at a computer.

- Ability to occasionally lift up to 15 pounds.

Pay: $20.00 - $23.00 per hour
