Waikoloa Village Association is seeking a part-time with some benefits or full-time with full benefits professional, organized, and customer-focused individual to join our team as an HOA Administrative Assistant / Resident Services Coordinator.
This position serves as the primary point of contact for homeowners, residents, vendors, and guests while providing administrative support for community operations, Board meetings, resident services, and community communications.
Key Responsibilities:
- Provide exceptional customer service to homeowners, residents, and visitors
- Answer phones, emails, and in-person inquiries
- Coordinate facility and amenity reservations
- Maintain homeowner records and association databases
- Prepare Board meeting packets, agendas, and correspondence
- Record and distribute meeting minutes
- Update community websites, newsletters, calendars, and resident communications
- Process work orders and resident requests
- Coordinate vendor communications and scheduling
- Assist with community events, annual meetings, and special projects
Qualifications:
- Excellent communication and customer service skills
- Strong organizational and multitasking abilities
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Ability to maintain confidentiality and professionalism
- Experience in records management, office administration, customer service preferred
- Detail-oriented with strong problem-solving skills

Schedule: Full-Time, Monday - Friday, 8 a.m. to 4:30 p.m.
