Duties
- Manage multi-line phone systems, answer inquiries, and route calls efficiently using professional phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages
- Maintain accurate records through data entry, filing, and document proofreading to ensure information integrity
- Support office management tasks such as calendar management, appointment scheduling, and personal assistant duties
- Assist with bookkeeping tasks using QuickBooks, Connecteam and PA1 Calls or similar software to support basic financial recordkeeping
- Organize office supplies, and ensure the workspace remains tidy and functional including light cleaning
Skills
- Proven experience in front desk operations and multi-line phone systems management
- Bilingual abilities to communicate effectively with diverse clients and team members
- Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
- Excellent organizational skills with the ability to prioritize tasks and manage time efficiently
- Demonstrated clerical experience with data entry, filing, proofreading, and document management
- Exceptional customer service skills coupled with professional phone etiquette
- Knowledge of bookkeeping software like QuickBooks and basic office management practices
- Ability to handle multiple responsibilities simultaneously while maintaining accuracy and attention to detail
- Previous experience as a personal assistant or in calendar management is a plus
