About the Role
This role picks up where our intake team leaves off. Once a lead becomes a client, you'll own onboarding end to end (paperwork, scheduling, file setup, and check-ins) while building a real relationship with each client. A year in, success looks like a client onboarding process that runs like clockwork, a team of paralegals who trust you to keep their files and deadlines straight, and clients who feel like someone is genuinely in their corner from the moment they sign.
Schedule & Availability
This is a remote position with core hours of Monday–Friday, 9:00 AM–5:00 PM. Within those hours, you're expected to be online, reachable in chat, and able to respond quickly. This role often means jumping on something the moment it comes up, not batching it for later. Anyone with legal industry experience knows client and case needs don't always stay inside business hours: on occasion, you'll need to be reachable and responsive in the evenings or on weekends when something time-sensitive comes up.
What You'll Do
● Own the full client onboarding process once a case is signed: collecting signed agreements, intake paperwork, and required documentation
● Serve as a client's first point of contact during the early weeks of their case, answering questions and setting clear expectations
● Coordinate with paralegals and attorneys to keep case files, deadlines, and client records accurate and current
● Manage the day-to-day housekeeping that keeps cases moving: scheduling, follow-ups, file setup, and data entry into our case management system
● Build genuine, lasting relationships with clients so they feel supported, not just processed
● Partner with our intake specialist to ensure a smooth handoff from new lead to onboarded client
● Flag issues, missing documents, or stalled tasks early, and follow through until they're resolved
What We're Looking ForRequired
● 1–3 years of experience in a legal, client services, or customer-facing administrative role
● Excellent verbal and written communication skills
● Highly organized and dependable: you finish what you say you're going to do, without someone checking in on you
● Comfortable learning legal case management and document software
● A genuine interest in the legal field and in helping clients through a stressful time
● Able to be online and responsive during core business hours, with occasional evening/weekend availability for urgent client or case matters
Preferred
● Prior experience at a law firm as a paralegal, legal assistant, intake specialist, or client services representative
● Familiarity with case management systems (e.g., Clio, MyCase, or Filevine)
● Experience working remotely with strong self-management habits
