POSITION TITLE: Estate Administration Coordinator
IMMEDIATE SUPERVISOR: PAM Accounting Team Supervisor
DEPARTMENT: Personal Affairs Management (PAM)
Essential Duties and Responsibilities:
· Under the supervision of the Accounting Supervisor or designee, assist the Personal Affairs Management (PAM) Program with the timely administration and closure of estates following the death of incapacitated clients. Responsibilities include monitoring and updating estate cases, maintaining accurate and detailed documentation in the case management system, reviewing and organizing incoming mail related to deceased clients, notifying heirs when appropriate, and communicating with family members regarding estate qualification or the small estate process. Obtain and coordinate Medicaid estate recovery payoff information, prepare and submit unclaimed property reports, correspond with vendors, creditors, government agencies, and other interested parties to verify and resolve final account balances and liabilities, and ensure estates are closed in accordance with applicable Virginia law, Commissioner of Accounts guidance, and organizational policies and procedures.
· Assist PAM program in administration of decedent’s Estate.
· Notify benefit providers, financial institutions, government agencies, insurance companies, utilities, and other vendors of a client's death.
· In partnership with the assigned guardian representative monitor and coordinate the completion of the agency's due diligence efforts by contacting family members and other appropriate parties regarding the final disposition of the client's remains.
· Represent the agency in court during interpleader proceedings.
· Performing basic administrative tasks to include all agency required paperwork, statistical reporting, correspondence, and client related services.
· Scanning PAM client’s documents to electronic file keeping system Noteable and server.
· Maintain proficiency in check-writing, check deposit processing, and True Link account transfers, and provide backup coverage for these functions as needed.
· Performing all other duties as may be necessary or requested by supervisor or the Director of Finance.
· Complying with all Agency policies and applicable federal and state law, adherence to all elements of the compliance plan.
Knowledge and Skills:
· Ability to establish positive professional working relationships with clients and their families, co-workers, financial institutions, Commissioners of Accounts, vendors, and members of the community.
· Knowledge and office work experience
· Ability to work effectively with volunteers.
· Valid driver’s license required
· Proficient in use of Microsoft Office tools
Physical Requirements:
May include: lifting up to 25 pounds and standing for one hour at a time
Education and Experience:
· Combination of education and/or relevant work experience in banking, investments, accounting, business. Excellent written and verbal skills required.
